8-month fixed term position based at our Mascot Campus

As the Executive Assistant, you will be responsible for providing high-level administrative and secretarial support for Executive Managers within Qantas Loyalty, ensuring their offices run efficiently and effectively. This includes providing accurate, confidential support, being the first point of contact for the EM to manage all internal and external enquiries and prioritising as needed. You will manage the EM’s diary including arranging meetings, reviewing action lists and handling with high levels of customer service.
You will prepare and edit detailed MS Word, Excel & Powerpoint presentations as required, and will assist with writing minutes and distributing meeting agendas. You will manage the core office function and ensure timely payments of accounts, tracking of expenditure and coordination of visas, duty travel and accommodation. You will also coordinate functions, events & roadshows; assisting with onboarding new staff (access/IT requests) and distributing key messages and information as required. Preparation of reports on a weekly and monthly basis including organising and preparing complex documents, along with managing speaking engagement on behalf of the EM.
You’ll have –
3-5+ years experience in an Executive Assistant position, with most recent experience supporting an Executive or Senior Leader
Tertiary Education in Business Administration or similar is desirable
Demonstrated ability to work with highly sensitive and confidential material
Experience providing administrative assistance to senior leaders
Highly developed time management and organisation skills with the ability to prioritise and work to tight deadlines
Highly motivated with the ability to work with minimum supervision
High level of customer service - internal and external
Acute attention to detail
Experience in maintaining efficient filing systems for computerised and paper-based records
Accurate work processing and spreadsheet skills, with proficiency in MS Word, Excel, PowerPoint
Proven written and oral communication skills with the ability to communicate with all levels of the organisation and customers
Demonstrated ability to work under pressure and to strict time constraints
Experience and working knowledge of Qantas in-house systems is advantageous
