This position provides high level professional administrative support to the Congregation Leader, Congregation Leadership Team (CLT) and the General Manager. In providing this support, this position exercises a high degree of communication competence, initiative, discretion and confidentiality. This position will also liaise with various internal and external stakeholders in relation to the business of the Sisters of Mercy Brisbane Congregation.
In this role, your responsibilities will include providing diverse administrative support to the Congregation Leader, Leadership Team, and General Manager, encompassing tasks such as managing calendars, monitoring email boxes, coordinating travel plans, and organising meetings. You will anticipate and prepare briefing material for leadership, prioritise tasks efficiently, and maintain confidentiality. Additionally, you will play a crucial role in supporting Trustees by scheduling meetings, preparing agendas, and ensuring follow-up on action points. Collaborating in staff meetings, participating in professional development, adhering to safety protocols, and promoting hazard management are integral aspects of this role, emphasising alignment with the core values and philosophy of the Sisters of Mercy, Brisbane Congregation.
To be successful in this role, you will bring proven advanced skills in various computer IT systems, particularly the Microsoft suite of products and Office 365. You will be confident in preparing Board papers and taking minutes for Board meetings. Your strong communication skills, both written and oral, will enable effective interaction with a range of stakeholders. Possessing a keen attention to detail, problem-solving abilities, and the capacity to produce professional and accurate documentation, you will also demonstrate an understanding of governance procedures and requirements, ensuring the application of sound governance practices. With experience in high-level administration, including executive and/or secretarial support, you will exhibit well-developed time management skills, autonomy, and the ability to prioritise tasks effectively. Upholding integrity, sensitivity to privacy and confidentiality, and ethical decision-making, you will maintain composure while working with a degree of autonomy.
Your commitment to contemporary safeguarding practices, knowledge of the Catholic Church in Australia, and experience in the not-for-profit or community services sector, coupled with the ability to engage with various stakeholders, will be highly regarded. You will demonstrate a deep understanding and alignment with the mission, vision, and values of the Sisters of Mercy Brisbane Congregation, along with advanced communication and time management skills, the ability to manage relationships, and exercise sound judgement while maintaining confidentiality.
