Our Business
Brisbane Infrastructure (BI) brings together Council's asset management, infrastructure planning, design, project management, construction, services, maintenance and transport operations activities. BI is made up of four key areas: Asset Management, City Projects Office, City Standards and Transport Planning and Operations.
The Role
As Executive Assistant, you will play an essential role supporting the Divisional Manager (DM) and the Divisional Manager's Office (DMO) to lead BI, ensuring the successful development and delivery of Council’s Infrastructure agenda. The BI DMO is a fast-paced, dynamic work environment – it may be a small team, but they achieve big things working closely together to achieve the best possible outcomes – and have fun along the way!
The successful candidate will be required to:
- coordinate diary appointments and support meetings for the Divisional Manager
- manage divisional correspondence through CMX and liaise with Lord Mayor's Administration Office, CEO’s Office, and branches across Council as the Divisional Correspondence Officer
- manage the Divisional Manager's engagement strategies including but not limited to the DM blog, leadership forums, new starter meetings and site visits
- provide leadership, guidance and support to administrative officers and teams within BI
- maintain confidentiality and handle all information with due care and diligence
- ensure documentation that is managed by the Divisional Manager's Office is quality checked, tracked and recorded in-line with procedures
- demonstrate and promote behaviours that are consistent with Zero Harm and the BI Culture Plan.
The successful candidate will possess the following attributes:
- demonstrated ability to work harmoniously within a small team
- highly developed written and oral communication skills with ability to prepare and produce correspondence and documentation to a high standard (including letters, briefing notes, memoranda, minutes, submissions, reports and presentations
- strong customer service skills including professionalism, active listening, sound negotiation skills, and the ability to maintain confidentiality
- demonstrated ability to operate autonomously and proactively in a demanding and challenging work environment, particularly with organising work tasks to support senior executives
- high proficiency with MS Office applications (Word, PowerPoint, Outlook), Records Manager, and ability to learn other business systems as necessary.
