Job Description
We are seeking an exceptional Executive Assistant to assist our CEO and Chief Creative Officer (CCO).
This is a dynamic role, and the ideal candidate should have strong organisational techniques, a proactive attitude, the aptitude to adapt in a fast-paced environment. This role requires a high level of discretion, excellent communication abilities, a keen attention to detail, and collaboration with both internal and external stakeholders.
Key Accountabilities:
- Pre-emptive administrative support: Provide comprehensive administrative help to the CEO and CCO, including handling intricate calendars, scheduling high-level meetings, and coordinating intricate travel arrangements.
- Executive Communication: Serve as the primary liaison between the CEO and CCO and internal/external stakeholders, ensuring effective communication and timely replies on behalf of the CEO and CCO.
- Client Experience: Proactively managing and enhancing interactions to meet or exceed the expectations of clients from the everyday, through to the special.
- Document Preparation & Collaboration: Prepare and edit correspondence, reports, presentations (using PowerPoint or other packages), and other critical documents, ensuring accuracy and a high standard of professionalism.
- Meeting Coordination: Organise and coordinate executive meetings, including agenda preparation, minute-taking, and follow-up on action items, ensuring that the CEO and CCO is well-prepared for all engagements.
- Project Management: Assist with high-priority projects and strategic initiatives (such as leadership offsites), ensuring timely completion and adherence to company standards and CEO and CCO’s expectations.
- Confidentiality: Handle highly confidential information with utmost discretion and always maintain confidentiality.
- Partnerships: Partner and collaborate with other key ANZ Groupe leaders and the Experience team. Providing thorough briefs and oversight to ensure smooth set up and execution of events and key meetings for the CEO and CCO.
- Partnering with the Chief of Staff: it’s vital to build a strong partnership with the Chief of Staff and ensure that the needs of the CEO are being met.
Qualifications:
- Experience: Minimum of 8 years of experience as an Executive Assistant, with at least 5 years assisting C-level executives, preferably in the advertising or creative industry.
- Credentials:
- Remarkable organizational and time management techniques.
- Exceptional verbal and written communication style
- Advanced knowledge in Microsoft Office Suite and other relevant software i.e. MS Teams, Zoom etc.
- Experience to multitask and prioritize effectively in a dynamic and high-pressure environment.
- Strong attention to detail and solutions-focused
- Strong collaboration techniques.
- The ability to proactively anticipate the CEO’s needs and plan.
