About the Opportunity
The Executive Assistant will provide a range of timely high-level executive, administrative and project support services to Executive Management Team (EMT) within Justice & Immigration. This role will be responsible for the coordination of the EMT’s schedule to ensure the required relationships are established and maintained both internally and externally while making sure the specific requirements of the business are being met. This role will also support the scheduling and travel requests of the EMT.
What you’ll be doing
- Efficiently manage and prioritise the executive's email correspondence
- Schedule and organise appointments, meetings, and events using Microsoft Outlook
- Plan and coordinate domestic and international travel itineraries for the executive
- Monitor and manage executive expenses, including reconciliation of receipts
- Review reports for completeness and consistency before presentation to the executive
- Attend and record minutes / action items during executive meetings
- Assist in managing and coordinating various projects
- Foster a positive and collaborative working environment
About you
You are a highly organized and detail-oriented individual with exceptional collaborative and interpersonal skills that can influence and interact at all levels within a matrixed environment. You have excellent analytical, research and problem-solving skills and can work autonomously to manage and deliver concurrent activities and initiatives. You are passionate and dedicated and demonstrate exceptional moral values in all that you do.
Your ideal skills & experience
- Proficiency in Word, Excel, PowerPoint, Teams, SharePoint and Outlook for document creation, data analysis, presentations, and email management
- Familiarity with project management tools to assist in organizing and tracking tasks and deadlines
- Ability to multi task and adapt to changing priorities and environments
- Significant experience (5yrs+) as an Executive Assistant or in a similar administrative role (project manager, office manager, team manager)
- Willingness to grow and stay updated on relevant technologies and industry trends
- Relevant qualification in Business / Administration desirable but not essential
