Job descriptionWe’re looking for an Executive Assistant to support our Chief Executive Officer as we scale our organisation. Our ideal candidate is a proactive problem-solver who can match pace with our fast-moving CEO, while also maintaining strong organisational skills and meticulous attention to detail.
You’ll also be support other executive leaders, including our Finance Director and President, and acting as the point of contact between the CEO and all our teams. You should have experience with efficiently managing calendars, making travel arrangements, preparing invoices, and office administration.
While the position will be based at our Canberra office, our CEO spends a lot of time at our second office in Vancouver, Canada. You’ll need to be comfortable coordinating with our North American team, so we’re looking for something who can be flexible and consistent across timezones.
Additionally, our CEO is a busy guy who oversees a number of businesses in Canberra, so you’ll be required to keep on top of multiple moving parts outside Acorn, too.
Responsibilities
- Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
- Coordinate complex scheduling and calendar management
- Act as point of contact between CEO and the senior leadership team
- Manage senior executives’ travel logistics and activities
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
- Maintain professionalism and strict confidentiality with all materials
- Organise team communications and plan events, both internal and off-site
Our ideal candidate
- 2 - 3 years experience in office administration and/or as an Executive Assistant
- Excellent written and verbal communication skills
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Strong time management and organisational skills
- Ability to coordinate multiple concurrent projects
- Confident with basic productivity tools and admin systems, such as bookkeeping, invoicing, and proposal software
