About the Role
The purpose of the Executive Assistant (EA) is to provide professional administrative support, time management and coordination to the Chief Operating Officer and General Manager Quality, Practice and Performance as they manage high volume workloads and complex organisational projects. The EA is a representative of the Executive, providing a courteous, friendly and solution focused approach.
The role supports the implementation of the clinical governance framework including supporting the Quality, Clinical and Practice Governance Committee and the sub-committees, and supports the maintenance of key personnel registers across the organises to maintain compliance with regulations.
Key Duties
- Assist with organising and preparing materials for the Quality, Practice and Governance committee and the sub- committees, including maintaining the action items and ensuring accountable persons are on track for completion.
- Maintain the Key Personnel registers across the organisation
- Take and distribute accurate meeting minutes
- Set meeting agendas and coordinating meetings
- Email management, including coordinating responses
- Calendar management (Outlook and Teams)
- Support projects through research, report preparation, minute taking and administration requests
- Coordinate schedules and partner with the Executive Assistant team to support positive outcomes
- Communicate with all levels of management and employees to assess and address needs
- Developing high quality reports and presentations
- Coordinate travel
- Raise and manage purchase orders
About You
You will ideally bring the following:
- Proven success as a Personal or Executive Assistant, or equivalent
- Advanced skills in MS Office, particularly Outlook, Teams, PowerPoint and Excel
- Highly skilled in communications, both written and verbal
- Customer service focus, with a friendly and positive attitude to stakeholders and team members
- Highly organised with excellent time management skills
- Proven ability to maintain confidentiality and discretion in handling sensitive information.
