The opportunity  

We are hiring two experienced Executive Assistants or Team Coordinators on a permanent basis where your contributions will make a positive impact to the community we serve. You will take initiative and a proactive approach in managing projects, reporting, and day-to-day operations within a large operational function group. You'll thrive within an agile and changing working environment to confidently handle and coordinate a diverse range of tasks for in either our Operations & Delivery Solutions (O&DS) function or the Growth & Infrastructure (G&I) function. 

About the O&DS function 

Provides safe, reliable, high quality water, sewerage and recycled water products and services to customers by efficiently operating and maintaining GWW’s water, sewerage and recycled water assets. 

About G&I function 

Builds, optimises and maintains the required infrastructure – major capital works and smaller scale infrastructure – to ensure the safe and reliable provision of water, sewerage, and recycled water services, at the right cost and the right time, for customers and communities. 

Responsibilities include: 

  • Strategic Implementation: Support the GM in day-to-day operations including managing meetings, projects, reporting and taking the initiative to assist with additional tasks outside of the box. 
  • Information Management Receive all communications - Process communications and direct to the right area, take ownership and deliver on communications pieces and projects. 
  • Report co-ordination - Assist the GM and Leadership Team with the preparation of Board and Sub-Committee Papers and Business Matters. Ensure all deadlines are met for circulation and distribution of papers. 
  • Administration support for leadership team and business group - Attend team meetings, prepare and distribute meeting documentation in a timely manner including minutes, agendas, action lists and undertake follow ups to action items. 
  • Financial administration - Process invoices of behalf of business group, setting up new suppliers, raising/closing and amending of requisitions and processing of invoices; Assist Section Managers with business planning and budgets, including accruals and forecasting. 
  • Co-ordination and administration: Assisting Section Managers in delivering on business and strategic objectives. 

Skills and Experience 

  • The right strategic mindset to want to be proactively involved in supporting the GM and the wider senior leadership team. 
  • You will show initiative, being able to think strategically and outside of the box to come up with solutions and strategies to support the OD&S or G&I function. 
  • Demonstrated experience in providing high-quality executive support at a senior level as well as administration to the wider team. 
  • High level of customer service orientation in dealing with internal/external stakeholders.  
  • Excellent communication skills including an ability to liaise effectively and tactfully with employees at all levels and deal with items of a confidential nature. 
  • Experience in coordinating complex work programs and ensuring adherence to key timelines. 
  • Excellent organisational skills, including time management, and an ability to adapt to changing priorities. 
  • High degree of initiative to be able to make decisions in the absence of GM, including ability to make improvements to current work practices.  
  • Ability to work in a high-pressure environment, remain calm and exhibit high levels of emotional intelligence.  
  • The ability to confidentially generate reports, including monthly board reports - this will require an intermediate level skillset of MS Office Suite. 
  • Have the confidence to set necessary boundaries to effectively deliver on key priorities.
