The role
An exciting and rewarding opportunity has become available for an experienced Executive Assistant to join the Keyton team. Based in our Sydney office, the successful candidate will primarily be responsible for providing high quality senior executive assistance and operational support to Keyton’s Head of Resident Operations.
This is a great opportunity to collaborate with our Executive Leadership Team, contributing to the successes of our committed team here at Keyton.
Reporting to the Head of Resident Operations, your responsibilities include:
Being the first point of contact for all internal/external enquires
Reviewing, filing and responding to emails and verbal enquiries on behalf of the Head of Resident Operations in a timely manner
Diary management
Coordinating extensive travel requirements
Scheduling of regular village visits for Head of Resident Operations & liaising with the CEO assistant, village teams and resident groups
Scheduling, drafting & producing LIVE (all village staff) calls
Developing scripts for LIVE events and coordinating with speakers
Liaison and co-ordination with industry and resident associations
Processing invoices and credit card expenses in a timely manner
Coordination of on-line staff communications
Providing high level administration support as required including managing meeting requests, preparing materials for meetings, meeting minutes, reports, booking meeting rooms, facilities, equipment, catering and services
Organising events and cascade communications to the team
Compiling, managing and distributing various documents to the business
Working closely with the other administrative teams at Keyton to coordinate training, events, communication and other activities including village visits
Assisting with ad hoc special projects as requested.
About you:
Your experience in liaising with senior level executives, as well as having the ability to build rapport with various internal and external stakeholders will see you succeed in this role. As will:
Having a minimum of 5 years’ experience in an Executive Assistant role
Being highly organised and able to effectively manage and prioritise multiple tasks
Excellent computer skills including Microsoft Office, in particular Teams, PowerPoint, SharePoint and Excel
Strong interpersonal, communication and negotiation skills
Exceptional customer service
Maintaining a high level of professionalism at all times
Having a proactive, positive and flexible approach
Ability to work autonomously and prioritise.
Ability to work well within a team environment
Highly motivated and able to take initiative and look ahead
