THE CLIENT
The Defence Science and Technology Group (DSTG) is part of the Australian Department of Defence and is dedicated to providing science and technology support for Australia’s defence and national security needs. DSTG is a national leader in safeguarding Australia by delivering valued scientific advice and innovative solutions.
THE ROLE
We are looking for an Executive Assistant (EA) to undertake a range of expert administration and stakeholder engagement duties for DSTG. The contract, initially until 30 May 2024, is subject to review for two possible three-month extensions or any parts thereof, up to November 30, 2024. The EA will work on a full time basis as per the requirements of DSTG and based in Fairbairn Canberra.
The Executive Assistant position will provide general administrative support across the Science Strategic Planning & Engagement (SSPE) Division.
  • This will involve assisting with various administrative tasks, from assisting line areas with events support, to maintaining spreadsheets and databases specific to the business areas, to managing and ordering stationery and to booking domestic and international travel arrangements
  • Ideally the person would have previous APS administrative experience, good customer skills and computer skills. It is desirable that the successful candidates have also had previous events coordination experience.
Some of the tasks associated with this role include:
Task Description
  • Perform straightforward tasks that support the delivery of procedural, operational, administrative and business support activities across Defence;
  • Respond to straightforward operational, procedural, administrative and business support enquiries and maintain accurate records and files in accordance with relevant Defence work practices, procedures and policies;
  • Acquire and apply the skills, knowledge and experience necessary to provide advice and services for a range of straightforward operational, procedural, administrative and business support activities;
  • Clarify and apply an understanding of Defence’s corporate requirements including relevant legislation, established principles, work practices and procedures necessary to achieve work area outcomes;
  • Build and sustain relationships with team members, stakeholders and actively participate in team work and group activities;
  • Listen to internal and external stakeholders and respond under limited direction to changes in stakeholder needs and expectations to achieve outcomes;
  • Collect and consolidate data and information and provide assistance in the preparation of written submissions, reports and other correspondence for internal and external stakeholders;
  • Select the appropriate course of action to progress work to meet business objectives, seek advice and guidance on more complex issues; and
  • Understand the operational, technical and resources requirements of a task and assist in the coordination, delivery and reporting of that task.
SELECTION CRITERIA
To be considered eligible for this opportunity:
  • An active NV1 security clearance is required or the willingness to obtain one (Australian citizenship is mandatory).
  • Experience in managing communications.
  • Excellent organisation, liaison and negotiation skills.
  • Sound writing and presentation skills.
  • Ability to produce communications collateral.
  • Ability to work cooperatively in a team environment.
Minimum qualifications:
Administration & coordination, with two or more years' experience, OR an equivalent combination of education and experience sufficient to successfully perform the essential functions of the position.
