Position Overview: As the Executive Assistant & Business Support Coordinator, you will play a pivotal role in providing senior-level executive support to the Director. Your primary responsibilities will revolve around managing complex diary schedules, correspondence, and facilitating seamless communication with internal and external stakeholders. Additionally, you will be instrumental in coordinating various administrative tasks to ensure the efficient functioning of the Director's office.
Key Responsibilities:
Director Support:
- Act as the initial point of contact for internal and external queries directed towards the Director.
- Manage the Director's calendar, including scheduling meetings and appointments.
- Assist in resource management, such as budget requisitions and payments.
- Coordinate correspondence, including drafting responses on behalf of the Director.
- Prioritise and categorise emails, manage due dates, and allocate actions in the Director's inbox.
Council, Directorate & Stakeholder Meetings:
- Research and assist in preparing reports and presentations for Council meetings and briefings.
- Draft meeting correspondence and reports for review by the Director.
- Coordinate the signing of meeting correspondence and action Council meeting resolutions.
- Monitor and follow up on outstanding items related to Council resolutions.
Projects:
- Collate information and prepare corporate reports and registers.
- Collate responses to queries from external agencies, including data collection and analysis.
- Identify and propose opportunities for continual service improvements.
Customer Service and Requests:
- Provide professional and efficient support to internal and external Council customers.
- Draft acknowledgment letters and responses for requests received by the Department.
- Update and action customer requests within Council's system, ensuring accurate records are maintained.
Qualifications and Licences:
- Mandatory: Current C (Car) Class Driver License, Tertiary or vocational qualifications in Business-related discipline or equivalent experience.
- Desirable: Supporting skills and experience related to the Directorate's programs and operations.
Required Skills & Experience:
- Demonstrated experience in an executive-level administrative environment.
- Strong stakeholder management and networking abilities.
- Exceptional organisational and time management skills.
- Proficient in Microsoft Suite, Adobe Acrobat, and ability to adapt to new software.
- Commitment to teamwork, with the ability to work autonomously.
- Previous experience in local government or a similar environment is advantageous.
- Proactive and self-starting approach to tasks.
