Job description

About the role
In this role, you will provide secretarial and administrative support to the Executive Director and promote sound communication between the office and its internal and external customers.

Work type: Temporary full time (9 months)
Classification: Band 6 ($90,263 - $97,365 pa plus super)

Key responsibilities include:

  • Assist the Executive Director in the performance of the functional duties and responsibilities of the Unit.
  • Build relationships with key stakeholders both within and external to the organisation.
  • Provide support and information to the Divisional Managers as required.
  • Cultivate and maintain strong team relationships among colleagues.
  • Co-ordinate quality and document control of all Council and Executive Management reports and Divisional policies and procedures.
  • Research information on a range of issues, develop recommendations and prepare presentations.           
  • Monitor the Divisional Corporate Plan and provide regular updates to the Executive Director.
  • Assist in the development and monitoring of the Executive Directors annual budget.
  • Direct incoming communications and prepare draft responses on behalf of the Executive Director 

About you
To be successful in this role, you will have a Tertiary qualification in a related discipline and some relevant senior secretarial experience, OR extensive experience in a senior secretarial/Executive Assistant role.

Essential Experience:

  • Superior organisational skills, including experience in the organisation of meetings, seminars, travel, etc.
  • Ability to co-ordinate the office of a Senior Executive.
  • Highly developed keyboard skills and proficiency in the use of a personal computer, advanced skills in MS Office (Word, Excel, Powerpoint, etc), electronic diary management, internet with an ability to quickly learn other applications as required.
  • Well developed written communication skills, enabling incumbent to prepare draft reports, letters, agendas and correspondence as required.
  • Demonstrated negotiation and assertiveness skill and ability to use initiative in resolving problems
  • Ability to effectively monitor projects and provide status reports on the General Manager.
  • Ability to conduct research.
  • Basic budgetary and financial skills.
  • A current Victorian Driver's Licence.
