Our CEO is currently seeking a highly skilled Executive Assistant to come on board and help him sail through to some of the most exciting milestones the company is set to reach so far. This is a dynamic position, and each day will present new challenges and wins. In no way will it be mundane, sometimes rather spontaneous. This is a mission-critical position that requires a candidate who is highly focused and organised and has the flexibility to engage in local and international travel.
Key Responsibilities include:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage the CEO's schedule, appointments, and travel arrangements with a keen eye for detail and discretion.
- Preparing printed itineraries, preparing agendas for meetings, ensuring stakeholders receive both preliminary materials and immediate follow-up.
- Prepare/ review correspondence, reports, and presentations on behalf of the CEO.
- Planning and documenting strategic meetings.
- Facilitate professional communication within the executive team and various departments, ensuring timely dissemination of information.
- Coordinate international travel arrangements, including flights, accommodations, and ground transportation.
- Accompany the CEO to client sites across the world, including on-ground support, as needed.
- Anticipate needs and proactively address issues that may arise in the CEO's absence.
The ideal candidate will be/have:
- Minimum of 5 years of relevant experience and proven track record in executive support roles.
- Exceptional organisational abilities to manage complex schedules, travel logistics, and information flow.
- Ability to thrive in a fast-paced environment, adapting to changing priorities and situations.
- Excellent written and verbal communication skills to interact effectively with internal and external stakeholders.
- High level of discretion and professionalism when handling confidential information.
- Resourcefulness, initiative, and lateral thinking (frequently required due to rapidly shifting environment and new information and opportunities landing on the CEO’s desk).
- Highly structured, punctual with a strong handle on time management both personally and when planning meetings and itineraries days, weeks or months in advance.
- Keen eye for detail.
- Willingness and ability to travel internationally, demonstrating cultural sensitivity and adaptability. This includes an openness and self-directed willingness to learn about other cultures and customs required for international trade.
- Tertiary qualifications in Science or Engineering would be desirable but not mandatory.
- Some background or keen interest clean energy, or a passion for saving the planet would be a bonus.
