Your New Role
As the Executive Assistant / Project Administrator, you will provide essential support to the executive team and manage various administrative and project-related tasks. Your responsibilities will include:
- Contracts Management: Oversee the lifecycle of contracts from initiation to execution, ensuring compliance and accuracy.
- Procurement: Manage procurement processes, including vendor selection, purchase orders, and inventory control.
- HR Job Onboarding: Facilitate the onboarding process for new hires and clients, including coordinating training certifications and ensuring competency requirements are met.
- Training and Competency Management: Track and maintain training records, ensuring all staff meet required competencies when onboarding to new clients.
- Executive Assistance: Provide high-level administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
- Job Card Cost Tracking and Management: Monitor and report on job card costs, ensuring accurate and timely financial tracking.
- Complex Quoting: Prepare and manage detailed and complex quotes for clients, ensuring all specifications and requirements are met.
This role operates Monday to Friday, 8:30am - 5pm, based in the Brisbane CBD.
What You'll Need to Succeed
To excel in this role, you will need:
- Proven experience in an Executive Assistant or project administration capacity
- Strong expertise in contracts management and procurement processes
- Experience in HR functions, particularly in job onboarding and training coordination
- Exceptional organisational and time-management skills
- Proficiency in financial tracking and reporting
- Ability to manage and prepare complex quotes
- Excellent interpersonal and communication skills
