About the Role  

As Executive Assistant to the CEO, you will be responsible for the effective and efficient provision of executive support to the CEO.  

You will work collaboratively and proactively to contribute to the smooth running and operations of the Office of the CEO and broader Games Venue and Legacy Delivery Authority (the Authority).   

The role is fast paced and operates in a complex, high-profile and often changing environment. 

This full-time role is initially for a period of 6 months, with the possibility of extension. Whilst not critical, applicants with immediate availability are encouraged to apply.  

About the Authority  

The Games Venue and Legacy Delivery Authority will ensure Queensland, Australia and Oceania are ready to successfully host the Brisbane 2032 Olympic and Paralympic Games. We will maximise the opportunity and legacy of hosting the Games, for the benefit of all of Queensland. 

The Authority will deliver new and upgraded venues for use before, during and long after the Games. We will monitor the delivery of villages and future-proof our liveability by bringing forward activities to ensure we can move safely, conveniently and reliably at Games time.  

About your Responsibilities 
  • Provide executive support to the CEO to ensure key deliverables are met within agreed timeframes, including complex diary management and prioritisation. 
  • Be the first point of contact for the CEO, maintaining a personal brand that reflects the CEO amongst a complex group of stakeholders.  
  • Manage the CEO's mailbox, triaging incoming messages, responding where appropriate and raising awareness of high priority communications requiring attention. 
  • Manage logistics for meetings, events and travel. 
  • Establish and maintain effective networks with internal and external stakeholders, including across three tiers of government, peak industry and sporting bodies and business associations. 
  • Ensure all correspondence from the office of the CEO is accurate. 
  • Maintain confidentiality on sensitive executive correspondence and business reporting. 
  • Undertake processing of CEO’s expenses. 
  • Contribute to continuous business improvement processes within the Authority, including information management and Right to Information requests. 
About You 

Experience  

Demonstrated experience in C-suite Executive Assistant role(s). 

Personal strengths  

  • Excellent communication skills with the ability to develop rapport with a wide and complex range of senior stakeholders. 
  • Attention to detail, ensuring nothing leaves the office without a quality check. 
  • Collaborative and customer centric approach to work. 
  • Agile and flexible, with the ability to be highly responsive in a changing project environment. 
  • Works well under pressure and in a fast-paced work environment,  whilst maintaining a professional and friendly demeanor. 
  • Actively engages and contributes to a positive team culture. 
  • Recognises the importance of maintaining confidentiality.
