St John of God Murdoch Hospital is one of the leading private health campuses in Western Australia, and major health care hub in the southern region. Offering 507-beds, services include an emergency department, operating theatres, endoscopy suites, birth suite and maternity ward, medical library and education center.

Your role at St John of God Murdoch Hospital

You will provide a high level of Executive & Support services to the Chief Executive Officer, Director of Nursing and Director of Medical Services and have oversight and overall management of the Executive Secretaries.

The Position

  • Maintain support to the CEO, including preparing, drafting, reviewing, and amending reports, presentations, memos, policies and procedure manuals (where appropriate).
  • Direct Line Manager to the Executive Secretaries, including rostering, leave management and work loads and cross cover when on leave.
  • Coordinate the Performance Reviews for the Executive Secretaries including the support of further development.
  • Working jointly with the Executive Secretaries to ensure performance standards are met.
  • Manage Executive Productivity including working around high / low hospital activity, excess leave, annual leave, sick leave, via the daily productivity tool.
  • Manage Payroll reconciliation for the Executive office including investigating and explaining anomalies.
  • Manage and review the Executive Cost Centre financial spend on direction from the CEO and recommendation for sign off.
  • Manage the Corporate Credit Card Expenditure for the CEO, including monthly reconciliation of all Executives cards.
  • Liaising with doctors and nursing caregivers on behalf of the Executives.
  • Answering and screening phone calls.
  • Diary and email management.
  • Act as the Executive Office point of contact to ensure all enquiries are actioned and prepare replies to both internal and external correspondence.
  • Undertake projects, research and prepare reports and use own initiative to drive projects from commencement to completion.
  • Provide CEO liaison support and co-ordinate activities involving key stakeholders, in particular VMOs.
  • Arrange meetings & functions, including venue bookings, ensuring catering, secretarial and other support services are provided.
  • Prepare agenda and minutes, follow up of actions, recommendations and decisions.
  • Preparation and coordination of Agendas, minutes and follow up of actions, recommendations and decisions for various hospital committees held monthly.
  • Prepare presentation material for visits, meetings, conferences and appointments and provide briefing as necessary.
  • Provide advanced application support for word processing, spreadsheets, graphics and Powerpoint, including preparation of the latter for the CEO, as required.
  • Organise all travel, vehicle hire, entertainment and accommodation for the Executives.
  • Manage and coordinate all Professional Development Courses for the hospital including registrations, travel, accommodation.
  • Maintain a flexible attitude to the daily schedule to address unexpected changing priorities.
  • Provide secretarial support for other departments when requested.
  • Ensure all documents are of high standards and in-line with SJGHC guidelines.


You will have excellent communication skills, both written and verbal, with strong ability to organize, prioritise and use initiative. With well-developed interpersonal skills and exceptional negotiating skills you will have commitment to customer service and maintaining confidentiality.

You will hold demonstrated ability to draft letters, memos, standard reports and other correspondence. Accurate and proficient typing, computer, document control and data entry skills with advanced MS Office suite skills with proven ability to prepare meeting agendas and minutes is essential for the role.

To succeed you will have a minimum of five years' experience in an Executive Assistant function.

  • Salary: $94,744 to $98,193, plus 11% superannuation
