Secretary/EA to join the Executive Support team with either State Govt or Council experience based in the City.
Pay Rate between $55-59p/h + Super
38Hr Week - Mon- Fri assign to the end of the year
Hybrid work available 3 days in office and 2 days WFH.
The successful candidate will have a tertiary qualification related to business administration or extensive relevant experience and thrive on working in a high-pressure environment with the ability to prioritise and achieve strict deadlines with minimum supervision. You will have previous experience working in a fast-paced environment at the Executive Assistant level or similar role.
Key accountabilities:
- Receive and process all appointment requests to the Executive Director ensuring requests are prioritised and actioned accurately and efficiently.
- Deliver a comprehensive range of high quality and confidential administrative duties to support the Executive Director, and assist the Manager Executive Support, in their leadership and management of the Office.
- Delegate and prioritise requests/invitations returned by the Executive Director to the appropriate business units, follow up and collate information to ensure the timely processing of requests to meet office requirements.
- Liaise, collaborate and build professional relationships with a diverse range of internal and external stakeholders to ensure effective communication, administration and coordination.
- Act as the first point of contact for stakeholders and maintain professional and timely communication and correspondence to internal and external stakeholders.
- Communicate the Executive Directors instructions and directions to external stakeholders and staff where appropriate.
- Maintain and collate the Executive Director electronic and hard copy diaries, providing updates in daily, weekly, fortnightly and quarterly formats.
- Participate in forward planning for the calendar on a yearly, monthly and weekly basis
- Maintain high ethical standards, exercise discretion and ensure confidentiality of sensitive issues are handled appropriately.
- Maintain tracking in TRIM and other filing systems for all appointment requests, responses, including escalations and redirection of enquiries as required.
- Administer compliance with policies and procedures by managing various registers and overseeing reporting cycles.
- Support and coach staff in the application of business processes, effective records, corporate systems and information management ensuring effective operation of the unit.
