This opportunity is available in our Melbourne or Canberra CBD offices, either full-time or part-time. It will initially be on a Non-Ongoing basis up until September 2024, with potential of extension and or becoming Ongoing based on candidate performance and operational requirements.
About the Role
You will play an important role in supporting a Deputy Fair Work Ombudsman and an Executive Director to ensure work priorities are achieved in a timely manner in a diverse work environment.
The Deputy Far Work Ombudsman leads the Large Corporates and Industrial Compliance Group of the OFWO, which focusses on complex investigation and enforcement functions in priority sectors.
The Executive Director leads the OFWO’s Customer Services Branch, a large Branch including the Fair Work Infoline that provides education, advice and assistance to the community.
You will provide high-level executive support services to both senior executives to ensure office matters are managed effectively and in a coordinated and professional manner. For the right candidate, depending on your skills and career interests there may also be opportunities to undertake project work.

Eligibility
- To be eligible for employment with the OFWO you must be an Australian citizen.
- The successful candidate must hold a current Australian Government Security Clearance (AGSVA) or be willing to undergo and obtain a Baseline security clearance.
Typical Duties
The duties of this role include, however, are not limited to:
- Building and maintaining strong working relationships and rapport with the senior leadership group and key stakeholders, including the Executives’ direct reports and other Executive Assistants.
- Monitoring and managing the Executives’ inboxes and calendars, proactively assisting and pre-empting the priorities of your Executives.
- Exercising exceptional professional judgement and using a common-sense approach when dealing with issues, problems, confidential and sensitive matters, ensuring diplomacy and strong discretion.
- Working under limited guidance and acting as a point of contact in liaising with internal and external stakeholders to action requests, coordinating activities and progressing projects.
- Providing secretariat support to meetings, committees and working groups as required.
- Financial management activities (e.g. credit card reconciliations, purchases, assisting with procurement) and arranging domestic travel arrangements for the Executives.
- Undertaking high-level administrative tasks to support the Branch, including maintaining organisational charts, mailing lists, leave schedules and other reporting tasks as required.
The successful candidate will be able to demonstrate:
- strong organisational skills with the ability to plan and manage your workload, proactively select methods that resolve issues as they arise or seek guidance when required
- exceptional attention to detail, with the ability to take responsibility for accurate completion of work
- the ability to prioritise tasks and adjust to meet changing work demands and circumstances
- excellent communication skills, both oral and written
- sound judgement, integrity and discretion; maintaining confidentiality and privacy is an essential requirement
- proficiency with Microsoft software packages, including Visio to produce written documents, visualisations and communication material
