Queensland University of Technology (QUT) is seeking a Executive Assistant to join , Chancellery Division.
The Executive Assistant provides high-level secretarial and executive assistant support to the Vice-President (Business Development) - a dynamic role that reports directly to the Vice-Chancellor. The principal duties of this position include coordinating complex and multi-layered schedules, securely managing a range of sensitive internal and external materials and communications, preparing, revising and completing correspondence and communications, coordinating domestic and international travel arrangements and liaising with internal and external stakeholders. The position also oversees general office processes and duties for the Office of the Vice-President (Business Development). This position reports directly to the Executive Officer to the Vice-President (Business Development) for supervision, workload management and for Performance Planning and Review (PPR).

Chancellery Division is responsible for strategy, including Indigenous strategy, government relations and policy, assurance and risk, international, marketing and communications, and business development. The Chancellery Division is led by the Vice-Chancellor and President.
About the Business Development Portfolio
The Business Development Portfolio provides university-wide coordination and stewardship of QUT’s engagement with industry, philanthropic and alumni communities. Led by the Vice-President (Business Development), the following areas fall within the Portfolio’s responsibility:
- Office of the Vice-President (Business Development);
- Industry Engagement;
- Advancement; and
- Alumni and Corporate Events.
What you need to succeed
You will thrive in this role if you are passionate about developing trusted working relationships and delivering high-level administrative support to a collegiate and high-performing team.
You will demonstrate:
- Education equivalent to a degree level qualification and or at least five years’ relevant experience.
- Attention to detail and an ability to manage time and high volume tasks efficiently and meet tight deadlines within the context of competing demands.
- High level written communication skills including the ability to prepare a range of documents including formal briefs.
- Highly developed interpersonal skills with a proven ability to work as part of a team, effectively liaise with external clients, and operate in a culturally diverse professional environment.
- Demonstrated digital literacy at a high level in key Microsoft Office 365 suite of applications, as well as use of document management, finance, and HR software applications.
- Ability to handle sensitive information within a strictly confidential environment.
- Ability to embrace and participate in change and respond to unexpected challenges at short notice.
