Overview
Our Sydney team is recruiting an Executive Business Partner (EBP) to support the Chairman in global, APAC and local client-facing responsibilities. The EBP also fulfils executive support and operational management duties and acts as support for our wider Sydney leadership team. The ideal candidate will be highly organised and proactive with the ability to manage competing deadlines. This is a full-time position however we would consider a part-time (4 day) arrangement for the right candidate. Given people are at the centre of SEC Newgate’s business, strong emotional intelligence and a great sense of humour are important.
Responsibilities
Executive Support to Chairman
- Email management and diary management – coordinating and scheduling internal and external meetings
- Task management – work collaboratively through Teams to get tasks done
- Meeting preparation - preparing papers and materials for meetings, note taking, minutes including secretariat/governance responsibilities for the APAC management committee and Australian Partner group.
- Manage travel and accommodation arrangements
- Expense reconciliation – prepare monthly expense and Amex reports, collate receipts
- Assist with developing and proofing letters, proposals, and presentations
- Client contacts – ensure database is kept up to date with client details
- Draft documents for internal use including presentations and speeches where appropriate
- Represent the Chairman, participating on call/meetings that they cannot attend where appropriate
- Serve as liaison between Chairman, Partners, Directors and staff regarding company climate, employee well-being, project updates, proposals, and planning
- Build and develop relationships with all employees to support day-to-day operations, and to help define opportunities for increased efficiency and improvements
- Handling a range of inquiries and developing action plans to address them, including the preparation and dissemination of communications to relevant parties as required
- Ensuring that all staffing issues are raised with the Chairman (and People & Culture if required) and are addressed confidentially and diligently
- Participation in National Admin team meetings, WIP and projects
- Improving and upholding business policies and procedures to ensure an appropriate level of control and compliance across all business units as well as supporting finance activities such as timesheets and invoicing

- Intermediate MS Office skills ideally including Outlook, Word, Excel, PowerPoint and MS Teams
- Ideally, some experience using online digital platforms including: LinkedIn, HubSpot, Wordpress
