The Executive Assistant/Administration Officer works in a highly varied and rewarding role, providing quality administrative support to Chief Land and Integrated Force (LIF) and wider Division. This opportunity allows you to shine, giving the opportunity to apply your skills in an agile and fast-paced environment.
The role provides administrative functions to LIF Division and executive support to Chief LIF. You will work closely with senior leaders, Defence, academia and industry to support and deliver LIF objectives. As a valued staff member, the successful person requires good knowledge of Defence corporate strategy to manage priorities and achieving required outcomes.
We are looking for a highly motivated and experienced team player to deliver essential support and office management services to Chief LIF and Division. The successful candidate will be an excellent team player who wants to work in a supportive, dynamic, challenging and fast-paced environment. You will need to think logically, be well-organised, flexible, maintain confidences and show a high-level of initiative and judgement.
APS 5 Executive Assistant/Administration Officer key responsibilities:
- Manage administration requirements for Chief LIF efficiently and discreetly, including inbox, phone and diary management, with the coordination of approval processes where required;
- Work collaboratively in a team-based environment, actively participating in and contributing to team meetings and exchanging information to support the work area and team objectives;
- Accountable to respond to complex operational and administrative support enquiries and apply skills, knowledge and experience necessary to provide advice;
- Consolidate and analyse information to coordinate and assist in the preparation of written submissions, briefs, inquiry outcomes, corporate reports, minutes and other correspondence for Defence and external stakeholders, to meet business objectives;
- Assist or manage the organisation and completion of administrative tasks in the form of:
- Domestic and International Travel;
- Support LIF Divisional engagements in the form of Event Management;
- Organise and participate in Simple Procurement;
- Maintain accurate records of documentation in line with Defence business classifications and record-keeping procedures;
- Develop and maintain relevant procedures, policies and other resources; and
- Take the initiative to investigate and recommend solutions for complex issues.
About our Team
We are the Program Office within Land and Integrated Force (LIF), located at Defence Science and Technology Group (DSTG) Edinburgh Base.
The Program Office team is responsible for providing high quality business enabling services to LIF, in supporting the delivery of DSTG and Defence outcomes.
These functions include Information Records Management, Workforce Planning, Business Administration, Event Coordination, Support to ADF Operations and Program Management.
The Program Office team is embarking on an exciting journey, building a dynamic team within LIF and these positions will play a key role in designing and delivering products and services to enhance operational support across LIF.
