We are seeking a highly organized and experienced Executive Assistant & Legal Secretary to join our dynamic team. The ideal candidate will provide comprehensive administrative support, with a focus on managing diaries, coordinating meetings, handling legal secretarial tasks, and ensuring effective communication. About the role:
- Organize and coordinate meetings, appointments, and associated logistics.
- Manage meeting room requirements, accommodation, catering, and travel arrangements.
- Provide secretarial support for the General Counsel (GC) and Company Secretary (Com Sec).
- Handle domestic travel arrangements and reconcile monthly expenses.
- Prepare presentations, reports, and correspondence as needed.
- Proficient in creating Google Slides (PowerPoint) and other presentation formats.
- Type meeting minutes and manage documentation for team meetings.
- Handle communications on behalf of the teams, maintaining digital diaries.
- Arrange and accept meetings and telephone calls with a high level of professionalism.
- Reconcile and process monthly expenses and legal invoices.
- Manage expenses and pay invoices on behalf of the GC, Com Sec, and Legal team.
- Utilize legal secretarial skills and experience, including familiarity with ASIC.
About you:
- Executive support experience is essential.
- High proficiency in Word, Excel, PowerPoint, Google Apps, SAP, Monday.com, and other relevant systems.
- Understanding of legal invoice systems.
- Ideally, experience with ASIC.
- Strong organizational and multitasking abilities.
- Google suite experience is highly desirable
