The Opportunity:
The Executive Assistant/Secretary is responsible for being the first point of contact here at ASTRA and will work closely with and report directly to the CEO. You will provide administrative support across the institution and will act as the friendly face our students, staff, and guests are greeted by when they visit. You will be responsible for answering and directing phone calls, as well as coordinating all other front desk activities and calendars for the CEO. You will also be involved in collating agendas, minutes and coordinating paperwork and meetings.
As this is a service oriented role, we are looking for someone who is passionate about providing exceptional assistance and someone who is able to deal with urgent requests as required. We are looking for a self-starter, who is ready to take the next step in their career and work for an educational institute that is paving the way for the business leaders of tomorrow.
Required Experience:
- Proven experience working as an Executive Assistant, or in a customer service based role.
- Exceptional organisation, time management, communication, and administrative skills, with proficiency in the Microsoft Office Suite.
- Professional attitude and appearance, with a can-do attitude.
- Creating, revising, and organising various documents like memos, reports, and presentations whilst maintaining precision and confidentiality.
- Overseeing meeting arrangements, comprising venue bookings, technical setup, catering, and material dissemination.
- Managing both domestic and international travel plans, encompassing flights, accommodation, and schedules.
