Supporting the leadership executive and broader team, the role requires a skilled professional with exceptional communication skills, organisational skills, a proactive mindset, and a passion for driving excellence. The successful applicant will manage a high and time sensitive workload with confidence and efficiency, ensuring seamless operations for the leadership executive and broader team.
The Opportunity
Your duties will include, but are not limited to:
- Developing and executing executive communication plans, including internal communications, customer case studies, and participation in industry events.
- Assist in creating content for meetings, internal communications, and social media posts.
- Manage executive calendars, including strategic appointment prioritisation and end-to-end travel planning.
- Coordinate large scale team meetings ensuring smooth execution.
- Organize team off-sites and events, handling logistics from inception to completion.
- Manage expense submissions, budget oversight, and reporting.
- Implement a comprehensive internal communication strategy to drive employee engagement and alignment with organisational goals.
- Maintain confidentiality and professionalism in handling sensitive information.
- Develop a deep understanding of the business group strategy, acting as a valuable information resource.
- Prioritise tasks effectively to meet deadlines and solve problems efficiently.
- Maintain organisational charts, contact lists, and distribution groups.
- Facilitate onboarding for new hires, ensuring a seamless technology setup and positive experience.
- Monitor team training completion and consolidate awards nominations.
- Coordinate catering and meeting room requirements.
- Manage purchase orders and expenses, ensuring compliance.
- Perform other administrative tasks as required.
Requirements
The ideal candidate will have:
- Experience in Executive Communications and Business Administration for corporate executives.
- Experience supporting multiple leads or providing one-to-one support at a leadership level.
- Experience in the technology sector is preferred.
- Proficiency in Microsoft suite (Outlook, PowerPoint, OneNote, Teams, SharePoint).
- Demonstrated initiative and ability to prioritise effectively.
- Strong administrative skills and attention to detail.
- Proactive team player with excellent written and verbal communication skills.
- Ability to use data and metrics to drive improvements and influence cross-functional teams.
- Proficiency in English, both written and verbal.
- Experience working with partners in the APAC region is advantageous.
- Experience creating and implementing joint marketing plans with global strategic alliance partners.
