As an Executive Support Officer, you will play a crucial role in providing high-level executive and administrative support to the Director Future Students (International). You will be responsible for ensuring the smooth operation of the Directorate and Global Office unit by handling various administrative functions. Additionally, you will assist the Director and Executive with strategic projects as needed and support other team members with major activities related to team building, culture, external events, and visitor assistance. This role also entails serving as the designated Travel Arranger for the Global Office and assisting in managing a shared workspace with other departments.
As a part of your role you will:
- Provide high-level executive and administrative support to the Director Future Students (International), including managing schedules, coordinating meetings, and handling correspondence.
- Support the Executive Officer and Director in strategic projects by conducting research, preparing reports, and facilitating communication.
- Assist team members of the Global Operations team with various activities such as team building, culture initiatives, external events, and visitor assistance.
- Serve as the nominated Travel Arranger for the Global Office, coordinating travel arrangements and accommodations for staff as needed.
- Assist in the management of a shared workspace with other departments, ensuring a conducive and organized work environment.
This continuing position is full time at a HEW 5 Higher Education Level and will be based at Callaghan Campus (Awabakal and Worimi land).

Completion of a relevant degree without subsequent relevant experience; or completion of an associate diploma and at least 2 years subsequent experience delivering professional, secretarial and administrative support to a senior manager in a University or similar complex environment; or specialist and relevant administrative experience; or an equivalent combination of relevant experience and/or education/training.
- Demonstrated ability to exercise initiative and judgement as well as discretion and complete confidentiality in the workplace.
- Highly developed interpersonal skills including the ability to participate in a team environment demonstrating clear communication and mutual respect.
- Highly developed organisational skills, including the ability to prioritise and manage multiple and competing priorities and stakeholder expectations.
- Advanced computer and database skills, including advanced experience in Microsoft Office suite (particularly Word, Outlook and Excel) and experience using corporate financial systems and managing invoicing and expense processing.
