Executive Team Administrative Support 

Location | Location Flexible – Erina, Newcastle, or Tamworth  
Hours | Full-time (1.0 FTE/ 38 hours per week)

Join the Executive Operations Team to work directly with the Executive Managers to provide a high level of contemporary Administrative Support to deliver on the operational and strategic goals of the PHN.

About the role 

The Executive Team Administrative Support Officer will need to be highly organised and possess excellent attention to detail as well as advanced communication skills to ensure the conflicting priorities and schedules of the Executive Team are managed. In this role you will be responsible for diary management, coordination of meetings, preparation of meeting agendas and files and organising and coordinating the travel and accommodation requirements for Executive Managers when on PHN business. This role will also work closely with lead Managers and strategy project officers to support the Executive Managers in the planning and coordination of the activities and deliverables; coordinating and ensuring that strategy reporting is delivered to the relevant Executive Manager for review and submission to the Board and Board Subcommittees on time.

The Executive Team currently consists of:

  • Executive Manager - Primary Care Improvement
  • Executive Manager - People, Operations and Engagement
  • Executive Manager - Commissioning
  • Executive Manager - Populations, Access and Performance
  • Executive Manager - Finance and Reporting

The successful candidate will have:

  • Minimum 2 years’ experience in providing high-level contemporary administrative and organisational support to senior management positions.
  • Demonstrated ability to plan, organise and prioritise work for self and the Executive; this role is in an environment with multiple and conflicting demands.
  • Demonstrated high level of discretion, diplomacy and sensitivity when dealing with confidential matters.
  • High level competence using a range of software packages including the full suite of MS Office.
  • Demonstrated ability to: draft and format complex written documents; and record and document meeting minutes.

Additional Information

*Salary: This role is classified as Grade F – J within our Enterprise Agreement and the rate will be dependent on skills and experience/qualifications. New appointments are generally between grade F – H. 

The current PHN policy requires employees to have received 3 Primary doses of an approved COVID-19 Vaccination.
