Mater is looking for a dynamic and experienced Executive Support Officer to join the team. This role is a permanent, full-time role based at Mater Newstead.The Executive Support Officer - Professional Lead will have responsibility of providing high-level, confidential support to the Mater Health Office. This role will provide support to the following roles: Executive Director, Metro Health; Executive Director, Regional Health and General Manager, Commercial OperationsSalary: Commensurate with experience plus superannuation and access to not-for-profit salary packaging up to $15,900What you'll be doing
- Exercise sound judgement to make appropriate decisions and promptly resolve day-to-day operational issues.
- Examine, prioritise and determine action of incoming correspondence including email, written correspondence and reports.
- Provide high-level administrative support including diary management, travel bookings, maintaining registers, credit card reconciliation and catering.
- Act as intermediary between the Mater Health Office and stakeholders, effectively managing enquiries through interception, screening and redirection as appropriate in a professional, timely and respectful manner.
- Research, collate and draft information into appropriate reporting formats as necessary for decision making purposes and presentation to various forums.
- Prepare high-quality written correspondence and reports for dissemination to staff and key stakeholders employing effective written communication and ensuring timely delivery.
- Organise meetings and workshops, prepare agendas, distribute meeting papers, take minutes and follow up on relevant actions.
- Work collaboratively as part of a team to ensure the efficient operation of the Mater Health Office.
- Maintain an effective document management system for storing confidential documents.
- Promote process improvement, manage workflow, provide clarity on procedures for the administrative team.
- Manage the flow of information to ensure seamless communication.
- Lead, coach and motivate the administrative officers to enhance effectiveness and overall job satisfaction.
- Coordinate backup and overflow coverage of administration services to ensure consistent service and quality during absences, unanticipated departures and peak workloads.
- Provide performance feedback to administrative officers to foster professional development.
- Maintain internal and external stakeholder relationships.
- High level facilitation and influencing skills along with strong decision-making skills with the ability to set, manage and implement priorities
- Ability to drive for resolution
- Significant, proven experience of identifying, developing, establishing and maintaining robust relationships with both internal and external stakeholders
- Ability to create and develop collaborative work environments where trust, integrity and open communication are valued
- Tertiary qualifications in a related field (Desirable).
