We are transforming how we deliver tennis, with the aim of making it more accessible, to more people, more often. To help us achieve our plan we are looking for a full time Executive Assistant and Office Support to join our Queensland Team!
About the role
The Executive Assistant & Office Support will provide wide ranging professional and efficient personal assistance to the Chief Executive Officer (CEO) and administration support to the Leadership Team and their respective teams, in particular team members within the Business Operations as required.
The role will contribute to team projects and act as an advocate for all Tennis Queensland programs, while also acting as a point of contact and information source for the team to coordinate planning, delivery, administration and logistics for events and projects across departments and with external stakeholders.
In this role you will:
- Day to day diary management, including scheduling of meetings, travel time, and meeting preparation.
- Email management on behalf of the CEO, including responding to emails, bringing urgent issues to the CEO's attention, and following email trails to gain understanding of subject matter that the CEO is working on.
- Monitor and replenish stationery and office equipment, ensuring a high standard of office presentation.
- Coordinate staff professional development workshops and team chats for the Tennis Queensland team.
- Coordinate Board, Board Committees and Company meeting requirements including, the compilation of meeting papers and travel arrangements.
- Drives a culture that embraces open and honest communication and feedback, helping others apply learnings and continuously develop.
- Reception duties at least three (3) days a week, or when required, handle of inward and external correspondence including emails, mail and phone calls.
About you
What you will bring to the role
- Excellent attention to detail on set tasks, with the ability to anticipate needs, think critically and work on completing task simultaneously.
- High level of initiative and process thinking to ensure continuous improvement of processes
- Excellent verbal and superior writing and report presentation skills are essential
- Ability to take initiative, work creatively, set priorities and meet deadlines.
- A current driver's licence and first aid certificate.
- Alignment with the Tennis values of Excellence, Humility, Collaboration and Imagination.
- You must hold (or be willing to obtain) a current Police Check and Working with Children Check.
