About the Role:
The primary function of the Finance Corporate Services Administrator is to ensure financial data is recorded and archived and to carry out associated general administration duties and to ensure corporate support services related to human resources management, quality and safety are administered to support the operations.
Duties and Responsibilities:
- Manage data entry and processing in Xero.
- Maintain customers and suppliers master data, including credit limits in the financial system.
- Handle coding, processing, reviewing, and storage of invoices.
- Maintain the payroll system and process payroll.
- Process purchase orders in Insphire.
- Perform month-end closeout routines.
- Conduct monthly balance sheet and income statement reconciliations.
- Ensure daily completion of linked software postings.
- Prepare journal entries and end-of-month reports if required.
- Manage debtors and creditors, including accounts receivable follow-ups and escalations.
- Complete business ATO (BAS) reporting and lodgment requirements.
- Handle payroll tax reporting and lodgments.
- Manage document control, including quality system version control.
- Manage finance timetable and communicate with relevant teams.
- Oversee on-boarding and off-boarding processes for employees.
- Maintain employee records in Xero and other databases, including permits, training records, and performance documentation.
- Draft and distribute Workplace Health & Safety and Quality documentation in collaboration with management.
- Administer governance processes around contract and risk management as directed by the Commercial Manager.
- Support the finance team administratively, including filing and document management.
Skills and Experience:
- Minimum 2 years experience in a similar position
- Advanced experience with XERO accounting system
- Proven exposure and accounts payable/receivable experience
- Cert 4 in Bookkeeping or working towards
- Proven Payroll processing experience
