At the beginning of 2014 SCSC moved to its new home in a state-of-the-art learning and teaching facility in Torquay.  Now, our facilities enhance our learning programs, such as our sports, art, and select entry enrichment and extension learning (SEEELP) programs, as well as our coastal environmental centre and shared state of the art sports facilities with the local shire allow our teachers to connect our student¿s learning to their lives, strengths and passions.

Role

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy.  Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3.  Management of staff to achieve the expected outcomes is a key responsibility.  Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases.  Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years.  Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered.  Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.  Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities
  • Assist with the preparation of annual budgets and regular financial statements.
  • Advise the accounting processes of the school and ensure that all funds, including school investments, are effectively accounted for according to Treasury regulations.
  • Provide advice to staff on spending against budget in respect to faculties, programs and other school projects.
  • Assist in the management of fundraising activities
  • Delivery of finance and administrative services, including exceptional customer service
  • Accurate processing of purchase orders, invoices and all other payments in a timely manner and in accordance with DET procurement policy and the Chart of Accounts
  • Reconciliation of School bank accounts and cash flow
  • Accurate processing and monitoring of school purchase cards
  • Processing and monitoring of assets including supporting the asset stocktake
  • Debtor invoicing and following up outstanding payments
  • Providing high level communication with creditors, suppliers and staff regarding payment of accounts
  • Maintain school information, including creditor details, outstanding invoices and orders
  • Support with reconciliation and monitoring of Camps/Excursions/Activities
  • Liaising with the Business Manager in relation to any discrepancies, outstanding invoices/payments and orders on a regular basis
  • Implement strategies to ensure effective administration and financial procedures
  • Process invoices to family accounts in compliance with the Parent Payments Policy
  • Process approved credit notes to family / debtor accounts
  • Supporting College families in understanding their accounts
  • Maintaining and communicating accurate family statements
  • Support Administration Office enquiries and reception when required
  • Provide first aid support when required
  • Commitment to and development within a multi skilled administrative environment
  • Undertake other duties as may be deemed necessary by the Principal and Business Manager
