Position Summary

Reporting to the Group General Manager – People & Culture, the Front of House ambassador attends meticulously and professionally to all matters pertaining to the reception desk along with the coordination of office needs and resources. The first point of contact for our guests and clients, key responsibilities include managing all incoming phone calls and emails, ensuring the smooth and effective operation of the reception area, and managing office facilities. The role will also assist the Executive team with administrative support, along with providing support to the retail network for client services-related tasks and queries. 

Key Responsibilities include but not limited to: 
 

  • Meet and greet clients and visitors, and announcement of arrival to internal staff
  • Provide meticulous level of service and attention to detail to internal and external clients 
  • Answer and transfer phone calls in a professional and timely manner
  • Coordinate and manage meeting rooms internal as well as external bookings 
  • Coordinate catering as required for meetings and events 
  • Maintain an immaculate presentation of the reception area 
  • Administrative duties such as filing, preparing correspondence, copying, binding, scanning etc.
  • Organise travel arrangements including flights, transfers, transport and accommodation
  • Monitor stationary levels and kitchen supplies and replenish as required  
  • Support boutique operations – ordering supplies, stationary, coordinating maintenance and repairs and cleaning, ordering of gifting, and assist with adhoc events as required 
  • Coordinate IT/Mobile requirements for internal staff and new starters 
  • Navigate office electronics such as the reception TV, boardroom, print area and kitchen appliances
  • Manage and maintain courier and mailing services
  • Assist with the coordination of events and celebrations 
  • Assist People & Culture team in the onboarding and welcoming of all new starters including organising relevant security access passes, welcome packs 
  • Coordinate staff gifting as required 
  • Organise and distribute in/out mail 
  • Coordinate office maintenance with the building management team 
  • Provide any other Front of house/office administration support as required
  • Handle sensitive information in a professional and confidential manner

Qualifications & Experience

  • Prior experience as corporate receptionist or luxury service position
  • Prior experience in a customer service or client facing role 
  • Excellent office administration and coordination skills
  • Proficient numeracy skills
  • Strong Microsoft Office 365 skills in Word, Excel & PowerPoint
