The role:
As Group Assistant, you will provide reliable, broad administrative and non-administrative support services to the General Manager Production - Operations, and the broader operations and leadership team.
Your key responsibilities will include:
Provide a range of administrative duties such as purchasing, invoicing, preparing reports, electronic document management, and organising meetings and off sites / functions.
Produce, analyse and report on information required by the GM.
Organise the appointments diary, travel and business schedule of the General Manager.
Prepare and coordinate Google documents including presentations, reports and team brief notes.
Prepare and monitor the Production budget in liaison with Managers, prepare Ellipse financial reports and arrange regular budget review meetings.
Review the department's financial transactions each month at the end of period and liaise with Finance.
Raise Purchase Orders, follow-up on purchasing requests, receipt and reconcile regular accounts with suppliers.
Monitor and Coordinate training needs for GM Production and Cooma based production team.
Administrator for Transgrid's learning management system and business registration portal to ensure employees are compliant for Transgrid's authorisation.
Secretary for the monthly Snowy Hydro Safety Leadership Panel.
Assistant Response Coordinator for the Crisis Management Team.
Administration support for Major Accident Prevention (MAP).
We're ideally looking for someone with:
A Certificate in Administration or equivalent industry experience.
The ability to maintain strict confidentiality at all times on all matters.
Considerable experience in supporting a senior executive.
Exceptional communication and interpersonal skills with the ability to relate to people at all levels of the organisation inside and outside the business.
The ability to efficiently and proactively manage conflicting and tight deadlines.
High concern for detail, standards and impact.
Impeccable time management and organisational skills.
Knowledge of software applications such as Google suite,Ellipse and AODocs.
