ANZUP has an exciting opportunity for an experienced and proactive Executive Assistant/Office Administration to provide Executive Support to the CEO and Office Administration support to the Business/Philanthropy Manager the ANZUP Management Team and the Membership. You will be joining a small yet highly productive team whose aim is to support and grow ANZUP’s clinical trial research portfolio.
The position:
You will report to the CEO providing confidential, high-level administrative support whilst also working closely with the Business/Philanthropy Manager across a wide range of office administration duties within this successful NFP member-based organization.
In addition, you will also play a supporting role to the small yet highly productive, and collaborative ANZUP Team.
You will be organised, efficient with respect for confidentiality and possess excellent communication skills. You will enjoy being able to multitask with great time management skills and be proactive in looking for ways to support the Management team.
Key responsibilities:
- Provide efficient/ effective administrative support to the Subcommittee and Study Chairs (members) to ensure organised and timely meetings;
- Preparation of calendar of events for Board and subcommittee meetings;
- Preparation of draft agendas for CEO, B/PM and Subcommittee Chairs;
- Circulating agenda and papers in a timely manner (scribe takes minutes);
- Liaise with ANZUP’s travel consultant to organize travel and accommodation for CEO, B/PM, Board and Management team and members to attend meetings
- Coordinate and book team meetings/functions including venue selection/catering with quotes as required;
- Provide a hands on approach to help support the team in the build up to major ANZUP events;
- Process invoicing paid through DEXT;
- Assist with the preparation and distribution of marketing/promotional material if required;
- Support HR and the B/PM with maintaining an up to date Quality Maintenance System (policy and procedures)
- Liaise with external IT to provide help desk support for staff;
- Assist with the coordination for the on boarding for new staff in liaison with HR
Skills you will bring to the role:
- Previous experience in an EA/Officer Manager role;
- Understanding of and a commitment to the not-for-profit sector;
- Experience providing high-level executive and administrative support including diary and calendar management and coordination of meetings;
- Experience in the preparation and coordination of information for Board and Subcommittee meetings;
- High computer literacy, including experience with Sharepoint, adobe, word and excel, working with websites WordPress, Campaign Monitor, or other EDM software. Salesforce experience or similar would be helpful.
- Some experience with Xero & DEXT would be an advantage.
- Well-developed organisational and time management skills;
- Well-developed written and verbal communication, consultation and interpersonal skills with a keen eye for detail;
- Proven ability to confidently and respectfully handle multiple stakeholders;
- Demonstrated ability to identify problems, make recommendations and implement appropriate solutions.
- Ability to effectively work in and as part of a highly productive team with a can do attitude
