Veterinary Receptionist / Administration Support (Permanent Part-Time)
About Us:
JCUVet is the clinical teaching small animal 24/7 hospital, referral service and GP practice for James Cook University. Located on campus, we provide excellence in clinical training for veterinary students through our small animal GP practice and Emergency Animal Hospital.
About the Role:
We are looking to appoint a permanent part-Time Receptionist to commit to a fixed pattern of the following specific shifts weekly:
- Wednesday: 8:00 AM - 5:00 PM (30-minute lunch break)
- Friday: 7:30 AM - 2:30 PM (30-minute lunch break)
In this role, you will provide reception, administrative, and clerical support while liaising with clinical staff, customers, and external veterinarians. Your well-developed admin skills will be crucial in enhancing our reception service, administrative systems, and patient care. There may be opportunities to take on additional working hours also if preferred.
Key Responsibilities:
- Greet and assist clients, visitors, and students with professionalism and warmth
- Answer and manage incoming calls, emails, and inquiries
- Schedule and manage appointments, maintaining accurate records in our booking system
- Process payments and manage invoicing
- Assist with general administrative duties including data entry, filing, and mail management
- Support the veterinary team with administrative tasks as required
- Maintain a clean and organised reception area
- Provide assistance with additional tasks and projects as needed
Essential Requirements:
- Experienced receptionist, preferably with some health and/or veterinarian practice experience, but not essential
- Confident and willing to take on new challenges
- Warm, friendly personality and great team player
- Strong administration, computer, and system skills
- Professionally presented with excellent grooming
- Excellent verbal and written communication skills
- Focused on delivering exceptional customer care
- Organised and efficient, yet empathetic towards customers in distress
