Junior Office Administrator

Generation Private Wealth 

An excellent opportunity has arisen for a Permanent Part-Time Junior Office Administrator to join our financial planning team in Varsity Lakes.

This position will be a minimum of 3 days per week from 8.30am – 5.00pm with the opportunity to increase hours as the company grows.

Full training will be provided by the staff member who is currently doing this role. She will remain in the office in a new role so you will always have a mentor going forward. 

About the role

The role is a great opportunity for someone wanting to get into administration to start their career in a growing company. 

The Office Junior will undertake a number of general office administration and reception duties. They will work closely with the other staff members to help maintain a smooth and efficient office. The Office Junior will be proactive in their work habits and shows high interest and engagement in all tasks delegated to them by the other team members. They will learn quickly and gain valuable experience which enables them to development further within the business.

Key responsibilities:

  • Screening calls and taking detailed, accurate messages 
  • Weekly stationery inventories to ensure all stock is up to date and completing orders when necessary
  • Managing and distributing all incoming and outgoing mail 
  • Photocopying, faxing, binding and filing all company documents
  • Book meetings with the clients
  • Organising refreshments for client meetings
  • Updating client details in the company database (Xplan)
  • Entering new client details into the database (Xplan)
  • Providing support to other staff members when busy
  • Ad-hoc secretarial duties
  • Maintaining kitchen supplies 
  • Maintaining cleanliness in the office and watering plants etc 
  • Greeting the clients in a professional manner that promotes the business
  • Restock seminar kits for the advisers
  • Review preparation for the review adviser (sourcing superannuation client summaries and insurance updates from external providers)
  • Lodging documents with external product providers
  • Post review requirements 
  • Prepare 1st appointment meeting kits

About you

Knowledge & Experience

  • 6 months recent experience in a similar administrative or reception role would be advantageous
  • Excellent administrative skill with highly accurate data entry, spelling and grammatical skills
  • Experience with MS Office – Work, Excel, Outlook
  • Strong and professional written and verbal communication skills to interact with colleagues and clients.
  • High organisation and time management skills to meet deadlines
  • Excellent corporate presentation and a great team focused personality 
  • Ability to manage time effectively and to prioritise workloads effectively 
  • Excellent telephone skills and the ability to respond positively and effectively to staff. 
  • Competent in taking and forwarding messages accurately and promptly
