ABOUT THE ROLEWe are looking for a Legal Assistant who will assist our team with the day-to-day operation of files, administration, accounting and client management.

You will work together with a team of approximately 20 staff and will focus on
providing support on a range of legal, operational, accounting and
administrative tasks to our Partners and our solicitors.

Your role is crucial and under the mentorship of the team, you will gain
experience, ongoing coaching, career development opportunities and
knowledge on many areas of law, focusing on property law and commercial
law at first.

Job Responsibilities and Duties:

  • Assist our team with the day-to-day operation of files, administration,
  • accounting and client management;
  • Conveyancing Experience is highly regarded;
  • You will be required to open our office and attend our office on a daily basis to undertake and fulfill your duties;
  • Be the first point of contact for client management, especially in more administrative matters;
  • Work on a diverse range of legal matters with our lawyers especially in transactional legal matters that requires high accuracy and attention to detail and process-oriented mindset;
  • Draft legal documents and correspondence;
  • Filing, mailing, service of court documents and delivery and retrieval of briefs;
  • Work autonomously and be part of our team;
  • Attend to file management including opening and closing files and filing emails and documents onto our legal database and physical files;
  • Coordinate appointments and meetings;
  • Attend to administrative matters as required to support our lawyer which may include photocopying, scanning, binding and filing;
  • Be the local port of call if we have an international legal matter;
  • Maintain contact lists;
  • Monitor deadlines and manage calendar; and
  • Will be required to maintain our office on a daily basis and ensure that the office is organised and tidy.

Job Qualifications and Skills:

You shall have the following qualifications and skills:

  • Career Experience: We are open to the right candidate with the right cultural fit. You shall have knowledge of day-to-day operations of a law firm. You must have excellent secretarial and organisational skills.
  • Legal / Conveyancing Experience: You should have at least 1 year experience working in an Australian law firm and proven working experience as a Legal Assistant or Paralegal. Conveyancing Experience is highly regarded
  • Educational Experience: Tertiary education is preferred. You must have proficiency in writing and speaking the English language. It would be ideal if you can speak another language such as Mandarin, however this is an optional requirement.
  • Computer Skills: You must be proficient, precise and fast in using technology including Microsoft office apps, PDF apps, CRM etc. Your typing speed should be at least 60+ words per minute. Your application will be highly regarded if you have experience in using legal database software particularly LEAP.
  • High Attention to Detail: We pride ourselves on having a very high standard of attention to detail. You must be experienced in being accurate, precise, detailed and producing error-free work.

  • Communication: You must be pleasant and friendly to interact with and you must be good at communicating precisely. You must also have excellent telephone manners.
  • Organisation: You must have excellent organisation skills and be able to diarise matters for our Partners and our solicitors.
  • Resourceful: You must enjoy taking the initiative to learn on the job and do your work independently and also as a team as and when required.

  • Service-minded: You must be focused on providing good service to clients and within the team and maintaining a long-lasting relationships.
  • Handling Matters: You must have the ability to handle multiple activities, work under pressure and be able to maintain at least 20 active files and be able to manage competing demands.
