For more information visit www.kelsian.com.About the roleAs a Maintenance Administrator at SeaLink Gladstone, you will conduct Administration duties to facilitates smooth operation of SeaLink Gladstone Maintenance Department. Key accountabilities are;
- Answer Phones.
- Receive deliveries.
- Respond to maintenance front desk queries.
- Maintain Stationary Supplies & Amenities.
- Maintain and organise Maintenance Office.
- Filing and Archiving of maintenance related documents as required.
- Mail collection and distribution.
- Assist Maintenance Manager and Team with administrative needs including data entry, printing, laminating, formatting documents, emails, and errands.
- Maintaining and managing of CMMS.
- Taking and recording of meeting minutes.
- Liaise with Contractors, Management and Vessels to coordinate maintenance work that is required.
- Coordinate vehicle services and registration.
- Close out maintenance completed PM’s in MEX and DataWeb
- Close out crew/vessel maintenance checks in MEX and DataWeb
- MRF transfer from DataWeb to MEX and close out all completed
- Recording of Oil Samples
- Record Waste Oil Collection
- Record Engine Hours in MEX
- Produce vessel stickers
- Ensure vessel documentation is filed on the shared drive, DataWeb and MEX.
- Process/Submit applications for AMSA reports e.g., survey reports.
- Manage invoices for processing.
- Petty cash reconciliation.
- Excellent written and spoken communication skills.
- Attention to detail.
- Time management skills.
- Numerical ability and data entry skills.
- Ability to work to deadlines.
- Works well in a team environment as well as autonomously.
- Experience within an Administration Position.
- Experience with Microsoft office software (word, excel)
