As one of the key pillars of the Oreana group, the business specialises in the design, construction, and delivery of a wide range of residential and commercial projects including medium density town living projects, individual new home builds, retail and childcare developments throughout Melbourne’s inner city and growth corridors
Reporting directly to the Building Managers, the Maintenance Coordinatoris responsible for liaising with key personnel & clientele when reviewing, actioning, and coordinating maintenance and repairs of dwellings, childcare centres and retail developments constructed by Oreana.
The role will be required to liaise with clientele, home occupiers and or property management agencies in a professional manner to ensure valid maintenance requests are addressed and closed out as efficiently and as hassle free as possible.
To be successful, the Maintenance Coordinator must demonstrate an understanding of industry standards & tolerances, product warranty guidelines & general construction experience to determine & communicate with the client what constitutes a valid maintenance request and what does not.
The role is required to produce, communicate & coordinate valid maintenance work orders with relevant construction personnel, contractors & suppliers to ensure an issue is addressed & closed out efficiently.
The Maintenance Coordinator will be responsible for fortnightly reporting to assist the business in identifying key “problem” areas which may need to be addressed to minimize maintenance and improve the company’s overall product delivery.
Key Responsibilities
- Proactively & professionally work & communicate with prospective Clientele, Home Occupants, Property Management, Construction Management, Contractors & Suppliers via phone and email to manage & coordinate all aspects of maintenance.
- Manage the maintenance email account, portal, register, and task manager.
- Proactively review the validity of maintenance requests prior to actioning an item to ensure the request is in line with business, industry & warranty standards, and guidelines.
- Action, Coordinate & Close out valid work orders with relevant construction & estimating team members, suppliers, and contractors within the required time frames.
- Report fortnightly on current and completed maintenance with the mindset to identify, address & minimize common maintenance items.
- Proactively work with the construction administration & estimating teams to ensure all tasks are completed in line with contractual requirements.
- Update Monday’s boards daily to ensure any communication on a maintenance job is registered.
- Book in and allocate a set number of maintenance jobs for the maintenance manager each week and follow these through until completion providing regular updates to key stakeholders including but not limited to owners / agents/ tenants / clientele.
- Produce and maintain a spreadsheet of outstanding maintenance for the fortnightly meeting with the Building Managers.
- Ensure new trades and suppliers have supplied a subby pack and insurances through build pass prior to completing any work.
About you:
To be successful in the role you will possess:
- Minimum 2 Years Proven experience in coordinating high volume home maintenance.
- Proven organisational & time management skills with strong attention to detail.
- Proven customer service skills including with those with complex or challenging behaviours.
- Proven problem-solving skills when faced with challenging situations.
- Advanced knowledge of Victorian Building Standards & Tolerances.
- Advanced knowledge of Construction Methodology, Contractor & Supplier responsibility.
- Advanced knowledge & experience of Residential Construction Administration.
