JOB DESCRIPTION

Introduction:
POSITION OVERVIEW

The Manager Quality, Risk and Compliance will have day to day responsibility for the quality, risk and compliance activity that enable Safe Steps to provide evidence of appropriate information sharing and privacy responses, incident reporting and management, accreditation readiness and continuous quality improvement. In doing so, this role will work across Safe Steps to foster a positive attitude to quality, risk, compliance and data quality.

The Manager Quality, Risk and Compliance is based at the Safe Steps’ head office in North Melbourne, however, working across all sites may be required. Safe Steps’ locations and unlisted telephone numbers may not be disclosed to any other person except in accordance with service procedures. The locations and unlisted telephone numbers of any high security refuges may not be disclosed to any other person other than in accordance with the instructions of each such service.

Description:
KEY RESPONSIBILITIES

Privacy & Information Sharing

  • Coordinate the response to enquiries/requests received via the **************@safesteps.org.au inbox, including those from clients, under information sharing legislation, the Freedom of Information Act 1982, from Courts, police, health services, lawyers, insurers
  • Coordinate response to complaints received via the **************@safesteps.org.au inbox.
  • Maintain a register of Privacy and Cyber breaches and report on these in line with legislative and policy requirements.
Risk management
  • Contribute to the identification, management and reporting of risks that could impact our strategic and/or operational objectives.
  • Ensure processes are in place to identify, manage and report on risk in line with Safe Steps Risk Management Framework
  • Oversee the administration of the risk register to ensure that it captures strategic and operational risks, relevant mitigation strategies and status of action plan.
Legislative compliance
  • Monitor changes to legislation that may impact Safe Steps via Law Compliance and ensure action is taken to maintain compliance, updated policies and practices, communicate changes and/or provide training
  • Liaise with Company Secretary and others to ensure relevant governance processes are in place to manage legislative change and compliance.
Information and document management
  • Update relevant documents to ensure they are accurate, including Privacy and Cyber breaches, accreditation readiness plan and Policy register.
Incident and Quality management
  • Act as Administrator for our incident reporting system, Tickit
  • Coordinate Tickit actions and closure with relevant staff
  • Report on incident data through high quality reports for both internal distribution and external agencies
  • Ensure responsible roles conduct investigations/root cause analysis to understand the nature of incidents and identify opportunities to improve practice.
  • Manage Safe Steps quality improvement register.
  • Contribute to the develop, implement, and maintenance of an organisation wide quality management system based on the Safe Steps Quality Management Framework
Accreditation readiness
  • Maintain the accreditation readiness plan/calendar with agreed activity.
  • Assist in completion of internal audits to ensure compliance with contractual obligations and continuous improvement opportunities are identified and actioned.
  • Provide training to new starters and other audiences as required, on such things as the role and functions of Quality Risk and Compliance, our quality management framework, use of Tickit, accreditation requirements.
Other
  • Prepare relevant reports related to the functions of this role.
  • Act as subject matter expert and champion for key functions withing this role
  • Build and maintain positive relationships with a broad range of stakeholders.
  • Regularly attend and positively contribute to team meetings.
  • Complete mandatory and other training as required.
  • Abide by all organisational policies and procedures, and workplace conduct and safety obligations.
KEY RELATIONSHIPS

Internal Stakeholder

  • Direct Manager - Head of Quality, Risk & Compliance.
  • Safe Steps Executive team & Board - Provide information and advice on organisational quality process, accreditation, compliance requirements.
  • Operational teams
  • Liaise with relevant team members to coordinate responses to clients/stakeholders.
  • Provide information and Quality Risk and compliance activity.
  • Work with teams to foster a positive risk and continuous improvement culture.
  • Company Secretary - Receive guidance and instructions relating to the implementation and maintenance of relevant governance processes.
External Stakeholder

Family Safety Victoria - Report critical incidents via CIMS

  • A current Working with Children Check and willingness to undergo a National Police Check

  • This position is designated under the Multiagency Risk Assessment and Management framework (MARAM) Identification (Tier 3 &4) level which requires mandated MARAM Family Violence Screening & Identification training and VACCA MARAM Identification responsibilities.

We are committed to the implementation and maintenance of a formal risk management system in order to provide a sound quality and governance framework that aligns with the Australian Standard for Risk Management (AS/NZS ISO 31000:2018) and ensures there are linkages between risk management and decision making, there is clearly articulated accountability, and there is mandate and commitment from all key staff in the organisation.

Skills and Experiences:
KEY SELECTION CRITERIA

Qualifications

A relevant tertiary qualification or significant experience in the area of quality and risk ideally in the health or human services sector

Skills / Experience / Knowledge

Demonstrated experience and/or working knowledge of governance, enterprise risk management, privacy, information sharing, and legislative compliance.
Demonstrated experience and/or working knowledge of incident management, quality management and accreditation readiness support.
Demonstrated ability to deliver high quality written and verbal reports to different audiences and in different formats.
Demonstrated ability to build strong working relationships with relevant stakeholders.
Demonstrated ability to work both independently and as part of multiple, multidisciplinary teams.
