The Material and Logistics Specialist will be responsible to ensure customer service excellence in effectively inputting data into excel, Oracle ERP system and other scorecards to meet requirements with WIP Process and contract execution. This includes WIP material transactions and Sales order creations for LTPA and Parts customers in Western Australia.

This role will develop customer loyalty and manage customer relationships through timely responses to customer and internal queries, execution to the highest level including delivery performance and internal work management transactions in both Oracle ERP and customer offsite repair portals. This role will be based in Perth to assist with providing coordination, direction and assistance from Remanufacturing Leader and team members as well as Customer Service Representatives.

Main Duties:

Reporting directly to the WA Service Leader - BHP + RHIO + FMG and working directly with the customers, this role will:

  • Support existing contract administration and management to ensure a seamless implementation and adherence to contractual Terms & Conditions

  • Manage Purchase orders and quotes in a timely manner

  • Manage external third party logistics providers for customs brokerage opportunities and incoterms

  • Manage external invoices and payments for freight

  • Record and Process WIP Jobs in Oracle System and excel tracker

  • Work with Reman Leader on priority work, including assisting with customer remanufacturing portal

  • Requirements to assist in Day-to-Day ERP Transactions to ensure timely tracking, monitoring and compliance of invoicing, stock holdings and materials management

  • Understanding and engage in stock transactions and stock on hand levels

  • Facilitate accurate information in inventory systems

  • Use historical data to forecast future parts flow and inform ordering to ensure committed lead times are met

  • Work collaboratively with broader team to collate and look for opportunities to optimize inventory in WA for all customers, including the forecasting of customers needs

  • Manage UX core returns end to end

  • Ensure timely resolution of customer issues and customer satisfaction

  • Produce monthly reporting on performance criteria and customer monthly meeting

  • Maintaining a clean safe work environment

  • Maintain an emphasis on safety at all times.

  • Identify and report all hazards/incidents/injuries/near misses/property damage and theft.

  • Abide by all company Policies and Procedures.

  • Participate in workplace inspections and safe work observations.

  • Ensure mandatory PPE is applied.

  • Notify Service Leader before the start of shift if you are sick and before leaving to go home during shift.

  • To be flexible with work hours when required.

  • Must be able to work as part of a team, with or without supervision.

  • Support pre-and post-contractual administration and management

  • Assist in the development of estimates and forecasting for internal financial reporting periods

  • Coordinating, Report and communicate project updates

  • Function as a liaison between internal organisations and customer for assigned contracts

  • Develop processes and procedures that ensure continuous improvement to contract and customer service

  • Coordinate the efforts of cross-functional groups and across shifts / time-zones to resolve issues that impact key performance criteria

Qualifications and Experience:

  • Minimum of 5 years' experience working within the Rail or equivalent Industry experience

  • Ability to manage effectively several projects simultaneously in a dynamic and face paced environment

  • Proven ability to deliver services and projects to satisfy customer and contractual requirements

  • Ability to prioritise workloads

  • Effective problem identification and solution skills

  • Strong MS Excel capabilities and skills

  • Strong customer service mindset

  • Strong oral and written communication skills

  • Strong interpersonal and leadership skills

  • Experience is ERP systems and management of repair processes

  • Experience in customs brokerage and import/export process preferred
