Job description

Medical Receptionist

Location: Derby, Western Australia

Employment Type: Full Time

Remuneration: $52,390.00 - $65,487.50 per annum pro rata + superannuation + salary sacrifice

The position is responsible for providing support and be the first point of contact for clients entering the DAHS premises. It is responsible for a high level of customer service and the entry of client information onto the Patient Information Recall System (MMEx).

About You

To be considered for this position, you must have:

  • Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines
  • Previous experience as Medical Receptionist or equivalent
  • Well organised, reliable and efficient in manner
  • Commitment to the principles of Aboriginal community control of health services
  • Demonstrates good understanding of cultural safety
  • Effective communication
  • High level integrity in maintaining patient and organisational confidentiality
  • Ability to work with a wide variety of professionals and the public, as part of a team
  • National Police clearances
  • First Aid Certificate (Basic Life Support)
  • Fully Covid-19 Vaccinated

Ideally, in addition to the above, we are looking for someone who has:

  • Current "C" Class motor vehicle drivers license

The position involves working within a multicultural organisation where the majority of employees, clients and stakeholders identify as Aboriginal and/or Torres Strait Islander. Candidates must be able to demonstrate an understanding of the issues affecting Aboriginal and Torres Strait Islander people and their ability to communicate sensitively and effectively with Aboriginal and Torres Strait Islander people.

About the Organisation

Derby Aboriginal Health Service (DAHS) is an Aboriginal Community Controlled Health Service (ACCHS) providing holistic primary health care services to the Aboriginal and Torres Strait Islander people living in Derby and surrounding communities. DAHS provide a wide range of innovative public health programs in addition to direct comprehensive primary health care services. It is required to comply with a number of Service Agreements with Commonwealth and State departments and agencies, and to operate with a number of government and private medical and health delivery organisations. The operating environment for ACCHS Australia-wide - has become increasingly complex and changeable in recent years and this is likely to continue.

Key Responsibilities for this position are:

The scope of this position will include, but is not limited to:

Administration

• Provide a high standard of reception services to all areas of DAHS

• Establish and maintain first contact with clients and business associates

• Answer the phone pleasantly and promptly, assists with inquiries and takes accurate phone messages

• Represent the human face and voice of DAHS

• Entry of all relevant client clinical data onto MMEx

• Maintain and update an accurate communication record system

• Register all incoming and outgoing faxes (clinic fax only)

• Ensure all consultation rooms have adequate supplies to enable staff to deliver Comprehensive Primary Health Care

• Maintain and update the internal phone and fax directories

• Provide administrative support to clinical staff

• Maintain client demographics within MMEx

• Other duties as directed

Medicare

• Provide day to day health service activities to the designated communities within the context of Primary Health Care in a professional, confidential and culturally safe manner.

• Prepare Medicare claims for doctor consults

• Enrol patients on Medicare and update client demographics as required, e.g. addresses, additional children, expiry date

• Make inquiries with the Health Insurance Commission regarding client Medicare number

• Assist clients in completing the Medicare Claim

• Assist the Medicare Clerk in the collation and batching of Medicare Claims

Patient Contact

• Notify clinical staff when patients present to clinic very unwell

• Liaise with other health service providers in the care of DAHS clients

• Liaise with Transport Officers in the coordination of patient travel to and from DAHS

• In consultation with the Client Services Manager, Senior Manager Clinical Operations and Senior Medical Officer assist, support and coordinate patient flow in the Health Service

• Maintain a clean and neat reception and waiting area

General

• Provide support and assistance to visiting Specialist, Allied Health staff and other health agencies

• Participate in staff meeting and professional development activities

• Initiate and maintain relationships and or networks with key external government and non-government and private sector organisations

• Promote and implement the philosophy, aims and objectives of DAHS

Team Contribution

• Contribute to process improvement and adhere to all DAHS Policies and Procedures

• Contribute to effective team performance

• Follow all safety procedures and contribute to a safe work environment.

Develop and Maintain Linkages

• Liaise and cooperate as required with other Project and Policy staff in DAHS

Self-Management & Team Contribution

• Contribute to process improvement and adhere to all DAHS Policies and Procedures

• Participate in Performance review process

• Follow all safety procedures and contribute to a safe work environment

Culturally Appropriate Ways of Working

• Personally, demonstrate through consistent behaviour understanding of, respect for and compliance with culturally sensitive ways of working with Aboriginal and Torres Strait Islander clients, staff and communities

Other

• Participates in continuous quality improvement activities and applies quality improvement principles to all duties performed.

• Attends workshops and training as required

• Attend and participate in Staff Development Days
