15-35hours per week. Permanent days available.
Open to one or two person Hire. Will include Saturday Mornings on a roster basis once trained.
Regular days and hours available, plus holiday and sick cover.
Key arrears of responsibility - Reception
1. Customer Service
Relate to the public in a respectful and unbiased way
Greet patients warmly and making them feel welcome
Give patients correct and adequate information about the practice
Record and convey messages accurately with adequate information between the public and
other staff
Respond to the public on the phone in a polite and efficient way.
2. The appointment system
Run the appointment system to practice specifications
Maintain communication with doctors through the day
keep appointments running smoothly, using initiative to intervene when needed.
3. The medical record
Maintenance of patient confidentiality at all times
Maintain computer filing system including Archiving.
4. The Billing system
Billing of all patients’ accounts including; Medicare, Veterans, Workers Compensation, and Private accounts.
Use of Tyro machine.
Handling of money, banking and balancing. 5. Teamwork
Work within a team showing respect and consideration for co workers
Communicate effectively with team members
Share responsibilities, handover tasks to maintain continuity of care.
Must be competent in the following duties and systems,
Opening and closing the practice
Pracsoft appointment book
Pracsoft billing system
Handling money, balancing and banking
Taking telephone calls, messages
Use of fax machine
Use of the photocopier
Sorting mail – incoming and outgoing
Medical Director results section
Filing and scanning
Organising pathology – recording, pickups, bookings
Follow up of patients via MD daily/weekly systems and work tray
Recording cold chain data
Basic infection control – Body fluid spills, handling sharps, contaminated waste
Maintaining general tidiness and cleanliness of the surgery
Consults with:
All reception team Practice Nurse Practice doctors
Main Qualifications
1. Very strong sense of customer service, courteous and compassionate
2. Excellent organizational skills, ability to multitask
3. Good general computer skills, with good working knowledge of Pracsoft 4. Excellent communication and teamwork skills
All reception staff are accountable to the practice partners. The nominated partner for liaison with staff is Dr Charters – this partner is the initial point for all communication, feedback, including grievances. They are responsible for oversight of the reception team including disciplinary procedures.
However, all major decisions regarding staff are discussed and decided by consensus between the partners.
