As we enter a period of significant growth, we are seeking an enthusiastic, self-motivated Officer Administrator who has a willingness to learn on the job.
The Position
Based in Dandenong South, VIC the primary responsibilities for this role as Office Administrator is to perform finance and administration duties to enable the office to operate in a timely manner
Key Responsibilities:
- Scanning Documents
- Electronic Filing
- Manual/Paper Filing
- Shredding Documents
- Creating Electronic Files
- Stocktake and ordering Stationery Items
- Ordering Cleaning Products
- Data Entry
- Creating New Employee Packs
- Set up sales orders
- Fill out and submit tender documents,
- Fill out delivery forms for distribution
- Update and maintain dock and asset register
- Issue invoices to customers along with the required attachments (insurances, stat declarations, etc)
- Assist project engineers with document requirements. (safety documents, commissioning reports, hand-over manuals)
- Facilitate credit reviews
- Contract reviews
- Create timing plan for each project
- Monthly invoicing, collections forecasting, and follow up debt collection.
- Development of safety documentation relating to site installations.
- Assist in International purchasing and correspondence, including freight coordination.
- Project coordination between Sales, Customer, Operations and Project Installation coordinator
- Other duties as directed by the office Manager.
- Assist with maintaining the overall quality standards for the works performed by the Company and in accordance with customer requirements
Skills & Experience:

- Assertive with a positive attitude.
- Friendly, approachable, and a professional phone manner.
- Intermediate Microsoft Excel Skills would be an advantage, but full training will be supplied for the right candidate.
