MindSpot are in need of an experienced Administrator to assist their therapists and running of their clinic. You will be innovative and think on your feet in our innovative and interactive clinic.
THE ROLE
Location: MQ Health Clinic building, North Ryde
FTE: Full-time, fixed term until 30th June 2025, with the possibility to extend.
Salary: Up to $70,000 + Super, with access to comprehensive salary packaging via Maxxia
THE ROLE
We are seeking an experienced Office Administrator and all-rounder to join the MindSpot team. Assist the Clinic Support Manager with the provision of high-level administrative support ensuring that the day-to-day operations of the clinic are completed efficiently and accurately. The position requires a firm commitment to excellent customer service. The successful candidate will be motivated and adaptable, with a broad range of skills. Option to be a hybrid role, working minimum 3 days in the office, 2 days at home. The main focus of this role is clinic support, with the opportunity to support other departments including executive support.
KEY ACCOUNTABLITIES (but not limited to)
Act as the first point of contact for general administration enquires in a professional and timely manner or escalate as required
Enter patient referrals into the MindSpot database with high attention to detail, accuracy and confidentiality.
Preparing patient packs, including mail merges, stuffing envelopes, printing labels, sorting booklets and brochures and other required documents.
Assist with the development and distribution of rosters in a timely and accurate manner including managing change requests, leave adjustments and shift coverage.
Be a member of the WHS committee, responsible for WHS inspections, creating and sending safety briefings to the team and collaborating closely with the MQ Health WHS team.
Email and calendar management, including scheduling meetings in-person, via TEAMS and Zoom, drafting agendas and taking minutes of meetings.

Previous administrative experience within a strong client-focused environment.
Excellent verbal and written communication skills and ability to liaise with a wide range of internal and external stakeholders.
Proven ability to handle sensitive and confidential information with absolute discreet and maturity.
Demonstrated experience prioritising high volume workload and flexible approach to undertake various of tasks.
Highly developed organisational and time management skills.
Display exceptional attention to details with high accuracy
Demonstrated reliability, initiative and problem-solving abilities.
Proficiency in MS Suite.
Empathetic and pleasant telephone manner with a willingness to engage patients by phone.
