HBI Australia is a progressive and professional insurance building company based in Northern NSW with offices in Byron Bay, Coffs Harbour, and Newcastle.
We are seeking an experienced Office Assistant to work in our Coffs Harbour Office. The successful candidate will have strong administrative skills, a professional work ethic, and a flexible “can-do” attitude.
Key Responsibilities
- Providing a high standard customer service to clients, insurance partners, subcontractors and other stakeholders as required
- Answering and directing incoming calls and emails from our customers and Insurance partners
- Assisting with all insurance claim-related matters, including meticulously recording information in HBI or client-based systems.
- Understanding the claims management process and ensuring documents are followed up in a timely manner to ensure Company performance measures are achieved.
- Developing, communicating, documenting and maintaining internal office systems and procedures as required
- Providing administrative support to any events, initiatives or projects as required
- In conjunction with other stakeholders, ensure the local facilities in the Coffs Office are well-maintained and safe.

- Demonstrated administrative experience and organisational skills
- Excellent customer service skills, including the ability to empathise with clients in a professional manner
- Excellent communication skills, both written and verbal
- Ability to work flexibly and pivot quickly to meet changing needs and solve problems
- Strong attention to detail and time management skills
- Ability to work independently and collaboratively with others
- Excellent computer skills with MS Office, including the ability to pick up new computer systems quickly.
- Insurance building claims experience (highly desirable)
The successful candidate would preferably have experience working within the building insurance industry, but we are willing to train the right person if they have the core transferable skills and a professional attitude. A thorough program of training and support will be provided by an experienced team. Given the hands-on nature of the role, you will be expected to physically work out of the Coffs Harbour office.
