About the role
Located in our Newcastle office and reporting into Office Coordinator you will be responsible for assisting and supporting the Office Coordinator with the day to day administrative and general office duties.
Please Note: This is a part-time opportunity, 3 days per week and you will be required to attend the office on your nominated days of work.
Main responsibilities include:
- Collect, sort and distribute morning and afternoon mail;
- Open, close and archive client files in accordance with the firm’s protocol;
- Provide administrative support and assistance to ABLA’s fee earners and/or Legal Administration Assistants as required;
- With the approval, order and distribute stationery and general office supplies;
- Provide overload photocopying and filing support and other general office duties as required by the legal admin assistants and lawyers
- Daily maintenance and cleaning of the kitchen and meeting rooms, storage room etc
- Court filing (filing of legal documents) and all other deliveries/errands required by all ABLA staff
- Archiving of legal documents and files
- Assisting with purchasing office refreshments, birthday cakes; snacks and lunches as instructed for office functions
- Maintaining general office documents i.e. phone list, floor plans, birthday list
- Booking meeting rooms and equipment as required
- Telephone answering
- Any other tasks as requested
To be Successful in this role, you will:
- Demonstrated experience administratively supporting a team.
- Ability to work in fast paced environment with competing priorities.
- Manages time effectively is organised and able to work to deadlines and deliverables.
- You are flexible and can adapt to changing environments
- High level verbal and written communication skills
- Works collaboratively with Colleagues and partners.
