We have an exciting opportunity for anOffice Assistant to join our HUB24 business on a full-time basis for an initial 2 month fixed term contract commencing Monday 22nd April to 28th June.  

This role will sit in our HUB office in Melbourne CBD 5 days per week with some flexibility offered when required. An excellent opportunity for someone who is interested in doing a little more than a traditional Office Assistant position! In addition to the traditional office coordination, you will also have the opportunity to be crossed trained in Corporate Actions. Office Administration Duties:
    • Daily management of all inward and outward mail, including Post Box Collection, mail distribution and nightly preparation for collection.
    • Daily management of the office, including keeping all areas of the office neat and tidy, dishwasher, printer stationery and maintenance, ordering stationery and other office requirements including groceries.
    • Completing ad-hoc task assigned by the General Manager of Non-Custody Operations.
    • Management of all inward mail, including opening, sorting, scanning, checking and filing electronically.
  • Learning key corporate action functions including but not limited to balancing and allocation of income and applying elective events.
  • Investigate where necessary any discrepancies & either resolve or escalate.
  • Advise & monitor notifications of elections to custodians / counterparties.
  • Lodging registry services documentation to domestic and international registries / taxation authorities.
  • Highly focused, organised and self-directed
  • Superior communication and presentation skills
  • Ability to build and maintain rapport with clientele
  • High degree of accuracy and attention to detail
  • An enthusiastic, motivated and professional approach to work
  • Team player who can work autonomously
  • Ideally tertiary qualifications or study in a financial services related discipline (not a deal breaker)
