We have an opportunity for a Receptionist/ Space Coordinator to join the WOTSO team based at our thriving Toowoomba space! This isn't your typical office or reception job - it's a chance to get creative through our community events, move around the space keeping it looking great, covering the reception, completing admin tasks, setting up meeting rooms, and interacting with our members.

With no two days the same, we are looking for someone who is efficient, organised, and bubbly to cover the reception and support the team in creating an exceptional experience for our members. This is an exciting opportunity to get started in a company with training provided, ongoing learning and potential for growth as our WOTSO spaces expand.

Duties/Responsibilities:

  • Cover reception and provide a warm welcome to everyone using our space
  • Interact with members and assist with requests
  • Daily space set up and pack down
  • Schedule meeting room bookings
  • Meeting room set up and pack down and efficient turn around with spaces
  • Order meeting room catering
  • Organise mail and parcels
  • Keep reception and communal areas looking neat & tidy
  • Coordinate access for visitors, members and contractors
  • Direct visitors to meeting rooms or communal waiting areas
  • Answer calls and enquiries including occasional 1800 calls and direct to relevant site
  • Occasional errand running
  • Printer set up for WOTSO members
  • Site instagram posting
  • Assist with creating newsletters and event posters using Canva
  • Complete grocery and workspace orders according to stock levels
  • Coordinate workspace tours and appointments
  • Assist with member tours as directed by Space Leader
  • Assist with events held in our space

What we would like from you:

  • We consider all levels of experience however previous experience in customer service (especially retail or hospitality is a plus)
  • Communicate effectively, both written and verbal
  • Have a hands on approach to tasks
  • Occasional travel to our other spaces in QLD may be required in the onboarding period for training and to meet our other team members
  • Be comfortable with being on your feet most of the day, we have lots of meeting
