Aromatic Botanica custom design premium essential oil blends to meet our customer’s needs. Based in Rydalmere, Aromatica Botanica is a fast growing business in the world of natural scents. 

We believe success comes from continuous innovation, enduring partnerships and a passion to serve. Reporting to the Director, this role will be an integral member across our business, working closely with our operations team & will be instrumental in our next phase of business growth.

This will be a diverse and dynamic role across a broad range of business functions and projects, and we require a versatile and resilient person to deliver results. Enthusiasm and going the extra mile will be highly prized as you take full ownership of tasks and operate in this fast-paced environment.

Key Responsibilities

In this exciting role, you will have the opportunity to:

  • Providing day to day support to the Director, including phone calls, emails, and meeting coordination as agreed.
  • Providing administrative support including drafting correspondences, submissions, reports, spreadsheets, and presentations for meetings.
  • Manage and prioritise a wide range of contact, both internally and externally.
  • Ensuring filing and office administrative systems are maintained at optimum performance.
  • Contributing to the continuous improvement of systems and processes in order to gain operational efficiencies and improve service delivery.
  • Represent and act on behalf of the Director in his absence.
  • Participate in other projects and activities as required by the Director.

About You

  • You will possess excellent organisational skills in all facets of your role and have demonstrated this in previous roles.
  • You will have the ability to understand technical requirements within the business.
  • You will have excellent computer literacy and have proficiency with a range of software including the Microsoft Office Suite. With the ability to adapt to a range of other software packages and systems i.e. ERP systems and CRM systems. 
  • You will have interest in new technologies that enhance efficiencies within the business.
  • You will possess excellent communication and interpersonal skills both written and oral and be able to prepare professional documents and reports with a high degree of accuracy.
  • You will be highly organised and have well-developed analytical and problem-solving skills.
  • This role will require you to work as a collaborative team member. You will conduct yourself in a highly professional and courteous manner to develop and maintain strong relationships with a range of internal and external stakeholders including colleagues.
  • Judgement, diplomacy, attention to detail and initiative are essential components to complete day to day tasks and to meet strict business deadlines.
  • The ability to maintain confidentiality and to apply discretion and tact at all times.
  • Demonstrated ability to work under pressure and juggle competing demands simultaneously.
  • Be available and responsive outside of ordinary business hours. 
  • Coachable with a willingness to hone and develop your skills.
  • Must have full rights to work in Australia.
