The Role
With a growing team of clinicians we are seeking an additional full-time Office Manager to co-lead the centralized Customer Service team (based at Unley) which supports 5 other metro clinics.
Working as part of this truly collabourative team, a vibrant Office Manager has the opportunity to:
- Manage the Customer Service Team in delivering the highest level of customer service to children and their parents and carers.
- Provide Hands-On operational support daily as part of the team of 6 Admin staff
- Work closely with other leadership personnel (report to the hand-on Director)
- Facility Management including restocking and maintaining the facilities, infrastructure, resources and equipment across 6 sites.
- Schedule Management: including making appointment appointment bookings and monitoring/updating appointment waitlists
- Schedule Reporting: producing and sharing reports that help clinicians manage their schedule
- Run weekly staff meetings for the Admin teamincluding agenda preparation, recording minutes and follow up actions.
- Some Financial Reporting (including submitting invoices, managing creditors, and debtors and billing and receipting Government agencies for services rendered (esp. NDIA).
- Clinician support in helping them with client related queries

About You
Experience:
- Those with proven experience as an Office Manager (Allied Health field preferred, but Medical/Dental acceptable) including staff management
- Those with Allied Health, medical or dental admin. experience who are keen to develop into management (*We support staff to grow into promotions).
Skills:
- Strong interpersonal skills with an ability to quickly establish rapport with clients, families and professionals
- High quality organisational, communication and time management skills.
- The ability to build and maintain positive client relationships as well as communicate effectively with parents, teachers, medical and Allied Health professionals in verbal and written form.
- Self-starter/motivator with multi-tasking capability, detail focused, ability to take initiative, to work autonomously as well as to lead a team with conviction
- Competent computing skills in Word, Excel and desk-top publishing and database management using Microsoft Office suite of products, and Practice management systems.
- Experience with Government funding initiatives, such as the National Disability Insurance Scheme (NDIS) and Medicare programs.
